Woodseats Medical Centre is looking for enthusiastic, hardworking people to join their Reception team for approximately 25 hours per week, spread over 5 days.
This is a varied role requiring excellent customer service skills and a willingness to learn.

Main duties of the job
Key Duties and Tasks: Receiving patients in a welcoming manner; answering the telephone, dealing with enquiries, making appointments, receiving prescription requests; scanning letters; supporting clinical staff, including acting as a chaperone; and undertaking other reception and administrative duties as assigned.
Please note, this role requires extensive use of computers, so a high level of IT literacy is essential.

Job responsibilities
* To provide high-quality, professional reception and administrative services to patients, doctors, staff, colleagues, and other health service professionals for at least 25 hours per week, with flexibility to ensure adequate coverage throughout the week.
* To be the first point of contact for patients and to represent the Practice professionally.
* To handle patient enquiries efficiently and courteously, ensuring mutual satisfaction.
* Greet patients and visitors.
* Book, amend, and cancel appointments following practice procedures to optimize appointment system efficiency.
* Receive and record requests for home visits, assessing urgency according to practice protocols.
* Respond to or redirect patient and visitor requests appropriately.
* Explain practice arrangements and procedures to new patients and temporary residents, ensuring completion.
* Register new patients and temporary residents.
* Maintain reception and waiting areas in a neat and tidy condition.
* Re-stock informational leaflets, forms, and supplies as needed.
* Answer incoming calls, document, and redirect as appropriate.
* Undertake administrative tasks assigned by Patient Services Supervisors and Management.
* Maintain up-to-date manual and electronic filing systems.
* Check emails daily.
* Monitor tasks and notifications on SystmOne regularly.

Person Specification
Qualifications
* GCSE Grade C or above in English and Maths or equivalent.
* IT literacy.
* Experience handling a high volume of telephone calls.
* Experience working in a busy environment.
* Excellent communication and interpersonal skills, both written and verbal.
* Strong attention to detail and a methodical approach.
* Ability to work independently and as part of a team.
* Willingness to develop new skills and undertake training.
* Approachable, flexible, and caring attitude.
* Ability to work accurately and effectively as directed.
* Previous experience as a medical receptionist is desirable.
* Experience with SystmOne is desirable.
* Customer Service or Business Administration qualification.
