The role requires a candidate who is comprehensive in administration and capable of demonstrating attention to detail when carrying out admin support to the two Deputy Directors of Finance. The ideal candidate will have comprehensive administrative experience and excellent attention to detail, ensuring reliable support for the Deputy Directors of Finance. They must be able to respond to queries quickly, assist with health and safety compliance, raise purchase orders and process invoices accurately, and provide support during meetings with both internal and external partners. Flexibility to handle ad hoc administrative tasks and a professional approach to all interactions are essential for this role. Main duties of the job
1. Provide primary administrative support to two Deputy Directors of Finance, including diary administration, correspondence support and other administrative duties as required.
2. Provide a professional and personable front-line service when dealing with enquiries from other areas of the Trust
3. Provide accurate and efficient support to the Deputy Directors of Finance, including joining meetings with internal and external partners as required.
4. Raise purchase orders, and processing invoices on the Oracle system, for sign off by the Budget Holder.
5. Undertake administration of health and safety information, including reporting on a regular basis on compliance with administrative processes via Ulysses.
6. Maintain the areas at Unipart specifically designated to teams of the Chief Finance Officer, order stationery as requested and oversee the correct use of the desk booking system.
7. Respond internal and external queries in a timely manner.
8. Support with ad hoc administration requests, including travel booking for teams.
9. Maintain and develop the Power BI (or successor) front end reporting tool to meet stakeholder needs.
10. Demonstrate high levels of customer care and be an ambassador for customer care within the Trust
11. Provide a robust administration function that underpins the delivery of a high quality service and maintain effective working relationships with other administrative staff.
12. Maintain confidentiality at all times.
