Position Overview

Align-Pilates & Merrithew are seeking a proactive and detail-oriented International Sales Administrator to join our team. This role is critical in supporting day-to-day sales by qualifying and distributing sales leads, processing customer orders, and handling invoicing and commercial documentation. The ideal candidate will have excellent communication skills, be confident working with numbers, possess a strong administrative background, and have a keen eye for details.


Key Responsibilities

* Provide support to drive sales towards quarterly Sales Objectives
* Answering in-bound customer sales calls and responding/ escalating customer issues to the Customer Care team.
* Qualify & distribute leads for Align-Pilates Equipment to the sales team
* Create new customer cards & quotes as required by the sales team
* Process and manage customer orders accurately and efficiently
* Liaise with the Purchasing dept. to provide product information, availability, shipping cost, sailing schedules and confirmed shipment dates to the customer or the sales team.
* Generate and issue customer invoices, credit notes, and other financial documents
* Prepare and manage commercial documents, including delivery notes, packing lists, and export paperwork if required
* Track order progress and update internal systems accordingly
* Communicate with sales staff on order status, delivery schedules, and any order-related queries
* Provide support to Partners – Updated price lists, product information, Quarterly memos, image requests, website reviews, events posting, requests for inventory & serial number reports, etc.
* Create and generate Team notification emails including: New Products, In/Out of Stock items, General FYIs
* Generate and distribute Sales and Inventory Reports (e.g. Salesperson Reports, Daily Sales, Monthly Promotion Sales Analysis), Saved Carts Reports and other reports as required.
* Additional projects and other duties as assigned.


Experience

* Previous experience in an administrative or operations role is preferred.
* Proficiency in Microsoft Office (Word, Excel, PowerPoint) is essential.
* Strong organisational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail.
* Excellent verbal and written communication skills, with a focus on professionalism and clarity.
* Ability to work independently as well as part of a team, demonstrating a proactive approach to problem-solving.


Nice to Have

* Experience supporting international or distributor-based sales
* Knowledge of logistics, shipping, or export documentation
* Exposure to fitness, Pilates, or wellness industries
