We have a brand new and exciting opportunity for an Assets Coordinator to join our Planned Maintenance Assets department
What you'll do
This role is bringing our Hafod mission 'Connecting with you' to life ensuring our tenants experience a smooth, efficient and professional service with our new retrofit project. The Assets Coordinator will be the first point of contact for teantns, providing a welcoming and professional support service. This key role will work to condense multiple site visits for our retrofit project into coordinated home visits for our tenants ensuring they have minimal-discruption through the project updates. Coordination & digital planning skills will be essential, previous experience managing detailed schedules, coordinating contractors, materials, and identifying risks ahead of time, is desirable.
Key responsibilities will include
•Project and Schedule Management: Coordinating appointments for Solar PV and other Energy Efficient Measures installations and managing the wider WHQS planned maintenance schedule.
•Customer Service & Communication: Acting as the main point of contact, providing clear and professional communication to tenants and contractors who contact the Assets team direct.
•Administrative & Technical Support: Logging maintenance orders, raising works orders, minute-taking, administering the Assets group message communications channels, managing invoicing, and providing admin support for customer complaints and special projects.You will work closely with the Assets and Decarbonisation Manager, Decarbonisation Engagement Officer, and Decarbonisation Project Surveyor, as well as the wider Assets Team.
What you'll need
Desmonstration of the ability to be organised and detail-oriented, with office or clerical experience in a client service environment. Experience working within housing, maintenance or construction would meet our desired criteria.
•Coordination & Planning: Proven ability in Project and Schedule Management and Logistics Management. You must be able to manage competing priorities and adapt to change in a dynamic environment.
•Communication & Interpersonal: Excellent written, telephone, and oral communication skills. You’ll need Negotiation and Diplomacy skills to resolve scheduling conflicts and strong Active Listening to understand the needs of our tenants and colleagues.
•Administrative & Technical: Strong IT literacy, particularly with Microsoft Office (Outlook, Excel, Word), and experience with other systems and databases for Data Management and Record Keeping. Experience with a Computerised Maintenance Management System (CMMS) is a plus.
