Administrator B2 - Receptionist/Admin Support

Main duties of the job
* Retrieve health record folders and pull case notes from across the Trust.
* Update patient details in Health Record Folder and Trust's PAS system.
* Pre‑p case notes for procedures and clinics.
* Check‑in patients for procedures and outpatient clinics.
* Maintain patient confidentiality and provide excellent customer care.
Job responsibilities (detailed)
* Request patient case notes from across the Hospital and peripheral hospitals.
* Ensure health record folders match location on HISS system.
* Prepare case notes for clinic/day case theatre admission.
* Cover reception duties politely and professionally.
* Admit and process patient attendance in associated clinics.
* Ensure referral letters are available in the health record folder for new patients.
* Add/ amend administrative information (e.g., update demographic details) of patients on HISS/EMIS system.
* Correct any errors discovered and satisfy the Director Support Manager.
* Update hospital information system to reflect correct patient details.
* Ensure duties allocated are completed timely and satisfactorily.
* Offer general support to the gastroenterology admin team.
* Liaise with other areas of the Trust to promote patient experience.
* Be an integral member of the assigned team.
* Adhere to medical records procedures.
* Answer the phone, take messages and act on them for outpatient and day case attendances.
* Review admin processes and consider improvements.
* Comply with the job description statement and all relevant policies, procedures and training requirements.
* Undertake any other ad‑hoc activities as directed.
Qualification requirements
* Minimum 3 GCSEs at grade C or above.
* Good command of English.
* ECDL or IT qualification.
Experience & Skills
* Computer literate with experience of MS Office.
* Good literacy and numeracy skills.
* Excellent organisational skills.
* Ability to follow simple instructions and procedures.
* Ability to work unsupervised.
* Experience of communicating with members of the public.
* Working knowledge of the Trust's PAS and Maxims.
* Medical terminology.
* Effective communication skills, verbal and written at all levels within the organisation.
* Previous NHS experience.
* Ability to work under pressure.
* Willingness to be flexible to meet departmental needs.
* Self‑motivated.
* Use initiative.
* Diplomatic & tactful when dealing with members of the public.
* Knowledge of the Blackpool way & Foundation Trust.
