Executive Assistant (EA) to Chief Executive & Chief Finance Officer

Overview / Role summary
This is a high-profile EA role supporting the Chief Executive and Chief Finance Officer and providing confidential, board level administrative and governance support. The appointment is needed following the departure of the current postholder and will play a central part in keeping senior leadership and trustees organised, informed and effective. You will manage diaries and meetings, prepare and produce papers and minutes, maintain statutory records and act as a trusted point of contact for internal and external stakeholders. Key responsibilities
Provide proactive diary and inbox management for the Chief Executive and CFO, including travel and expenses administration.
Plan, coordinate and service Board, committee and senior management meetings: prepare agendas, compile and distribute papers, and take accurate minutes.
Maintain statutory records and registers and provide company secretarial support.
Produce clear briefings and documents to prepare senior leaders for meetings and external engagements.
Run hybrid and virtual meetings, managing platforms, presenters and participant logistics.
Develop and maintain efficient filing, “brought forward” and task tracking systems to ensure follow-up of actions.
Triage correspondence, draft responses and liaise with trustees, partners and stakeholders professionally.
Support on ad hoc projects for the executive team and provide occasional cover for other admin colleagues.Required skills & experience
Proven experience as an EA supporting C-suite leaders and servicing a Board or Trustee body, including formal minute taking.
Excellent written and verbal communication with attention to accuracy and tone.
Strong diary and workload management skills; ability to prioritise and work independently.
Confident user of Microsoft Office (Word, Excel, PowerPoint) and experience running online/hybrid meetings.
High level of discretion, integrity and experience handling confidential information.
Organised, detail focused and resilient under pressure.Nice to have skills
Previous charity sector or governance experience.
Experience maintaining statutory books or company secretarial processes.
Familiarity with collaborative and project management tools (e.g. Teams, SharePoint, board portals).
Interest or lived experience relating to multilingual communities.Preferred education & experience
A relevant administrative/secretarial qualification or equivalent proven experience.
Demonstrable track record of supporting senior leaders for at least 3–5 years, including Board servicing.Other requirements
Hybrid working pattern with regular in office days (typically three days in the office, two remote)
A short handover period with the outgoing postholder will be arranged.
