Gentle Hands Healthcare is a growing, digital-first homecare provider delivering person-centred care across Fife and surrounding areas. We're entering a planned multi-site expansion.
The role
A hands-on, results-driven Care Manager who can run day-to-day field operations across three offices, build scalable systems, and move the service forward in line with our expansion plan. The role blends quality governance, rota optimisation, people leadership, business development for private clients, and confident engagement with councils and other official bodies.
Key responsibilities
* Multi-site leadership: Lead and coach field teams across three offices; ensure person-centred care, timeliness and safe delivery.
* Quality & compliance: Care Inspectorate readiness; Health & Social Care Standards; Adult Support & Protection; Infection Prevention & Control; eMAR/MAR accuracy and documentation.
* Digital operations: Expert use of Birdie (care plans, eMAR, notes, forms) and rota/scheduling tools; drive adoption, reporting and data-led decisions.
* Rota & capacity planning: Optimise coverage, travel time and cost; manage the on-call rota and rapid same-day changes.
* Professional familiarisations: Deliver structured introductions for new/complex packages and regular care reviews to maintain consistency and safety.
* Private client growth: Design and execute a plan to attract private clients—referral channels, partnerships, introductory offers—tracking KPIs (client growth, satisfaction, conversion).
* People development: Hold regular 1:1s/PDRs, create Individual Development Plans (IDPs), and run refreshers/briefs to upskill the team.
* Field presence: Conduct weekly/regular spot checks & supervisions and maintain visible company presence in the community.
* Stakeholder management: Represent the service confidently with local authorities/commissioners, NHS partners and other official bodies (service reviews, KPIs, audits; support tenders/contract delivery).
* Community & CSR: Build relationships with charities and community groups; organise free awareness workshops on dignified living as a right for everyone and link them to referral/support pathways.
* Problem-solving: Respond quickly and pragmatically to care-related issues/incidents; prevent recurrence and communicate clearly.
What you bring (Essential)
* 3+ years in a senior role (Senior Carer / Team Leader / Care Supervisor / Care Manager) in homecare or residential care.
* SSSC registration (Manager – Care at Home) or eligibility; SVQ Social Services & Healthcare (SCQF 9) and SVQ Care Services Leadership & Management (SCQF 10) (or willingness to complete—funded).
* PVG (Disclosure Scotland) membership.
* Exceptional proficiency with care tech: Birdie (care plans/eMAR/notes/forms), rota & scheduling systems, dashboards; solid Excel/Google Sheets.
* Proven multi-site leadership; calm, fast problem-solver; strong written and verbal communication.
* Full UK driving licence and access to a car.
Desirable
* Experience scaling services across multiple branches and developing private client pipelines.
* Council/commissioner liaison, tenders and contract performance.
* Advanced training (Dementia, PBS, End-of-Life); inspection/audit leadership.
