What will you be doing?
We’re seeking a talented individual to join our Audit & Assurance team in Birmingham. The postholder will provide Partners, Directors and the wider team with full support. You will manage business related tasks such as arranging meetings, organising travel and accommodation, creating reports and presentations, taking minutes, and other organisational tasks. We are seeking an individual who is proactive, fast at solving problems and can manage multiple different tasks at one time. The individual should be able to work under time pressure and have experience as an executive or personal assistant. A strong work ethic is important together with a willingness to work collaboratively in a team.
Responsibilities
* Provide full administrative support in any capacity to the Partners, Directors and wider Audit & Assurance and Financial Reporting team. This includes (list is not exhaustive): diary management, arranging meetings, travel and accommodation bookings, billing, preparing, formatting and issuing letters, audit related reports, engagement letters, various written documentation, arranging signing via Adobe, bank confirmation letters, monitoring email, conference registration, team events, client events, meet and greet, seminars, ad hoc projects as required
* Act as a client interface when required; providing the client with polite, prompt, friendly and professional contact through all forms of communication
* Uploading and issuing financial statements for signing via Adobe along with other audit related documentation
* Secretarial and administrative duties, e.g. processing purchase orders, processing expense claims, scanning, photocopying, searching/filing to Companies House and Land Registry websites, etc.
* Onboarding process for new clients, including remediation updates, with full use of Onboarding system, including but not limited to conflict searches
Qualifications
* Have previous experience in a similar role (Secretary, Personal/Assistant) ideally from a professional services environment
* Possess strong organisation/time management/problem solving skills to work in a fast paced, pressurised environment with the ability to prioritise work
* Possess strong attention to detail. Fast and accurate typing.
* Be able to demonstrate proficiency in Office packages; Outlook, Word, Excel and PowerPoint to use effectively and professionally within S&W Partners format
* Possess the ability to quickly master new skills in S&W Partners systems e.g. Practice Management System (i.e. Star), Billing and Fee Note System, CRM, DMS, Netsuite (including onboarding of suppliers)
Desirable Skills/Qualifications
* Diplomas from the Institute of Administrative Management, Administration Qualification, or general business/administration NVQs
