Williams Lea seeks an experienced Personal Assistant to join our team. The Personal Assistant supports the Manchester office (circa ten individuals of varying levels of need). The role provides enhanced, proactive support to a team of fee earners enabling them to operate efficiently. The individual is expected to use a high degree of self-management and initiative and maintain a high level of confidentiality.

Job Title: Personal Assistant
Location: Manchester, M2 2A
Direct pay range disclosure: Base pay range information is provided by Williams Lea; your actual pay will be based on skills and experience.
Salary: £30,000 per annum, plus company benefits
Contract: Full Time, Permanent
Shifts / Hours: 37.5 hours per week, Monday – Friday, 9:00am – 5:30pm with 1 hour unpaid break
Work mode: Hybrid after successful probation (3 days in the office, 2 days from home, business needs dependent)
Key responsibilities
 * Proactively managing complex diaries for fee earners
 * Answering telephone calls in a timely fashion, taking clear and detailed messages
 * Organising internal and external meetings
 * Liaising with clients via email, telephone and in person; acting as a point of contact in line with the firm’s standards for client care
 * Assisting fee earners in the billing and credit control process; generating accurate billing reports, draft bills, and accompanying letters
 * Assisting fee earners with finance tasks (requesting cheques, CHAPS/BACS payments, bank transfers and paying in money received)
 * Ensuring accurate and timely use of the client relationship management tool to facilitate matter opening, maintenance, closure and archiving
 * Maintaining up-to-date client records in the CRM including client contact details and billing-related requests
 * Co-ordinating fee earner movements and travel arrangements
 * Managing the client and matter inception process ensuring files are opened in a timely manner
 * Submitting partner/fee earner expenses in a timely manner
 * Co-ordinating document production, e-filing, file management, and related services; organising couriers, letters and faxes
 * Producing official documents and participating in relevant training
 * Flexible in working practices to meet business needs and handle high workload
 * Supporting the Business Services Manager to ensure smooth running of the office space including Health & Safety compliance
 * Assisting other team members as required and collaborating with other legal and support departments
 * Any other relevant duties as reasonably requested by the fee earners or your line manager
