An exciting opportunity has arisen for a Band 4 MES Clinic Co-ordinator

As a member of the team, you will assist with managing referrals for MES patients and working to ensure patients are treated in line with Trust policies. The post is varied and includes contact with patients and many health care professionals associated with MES treatments

The successful post holder will work as part of the multi-disciplinary team to provide a professional and pro-active service. The post holder will as MES Clinic Co-ordinator support the department sister and nursing team ensuring best use of MES capacity by utilising CPD, excel spread sheets and word documents and who always work within the Trust values.

The role involves dealing with routine enquiries, processing referrals and prescriptions, recording information on relevant systems and other administration tasks relating to the role. Due to the nature of the role, it involves dealing with personal and sensitive information, therefore the post holder must maintain confidentiality at all times.

We are looking for a self-disciplined and motivated individual who has good communication and time management skills and enjoys working in a team, with a minimum of one year experience in a patient focused environment

The base for the post will be MES (York site, currently at Nelsons Court) but cross site cover may be expected as part of the role.

The departments opening hours are Monday-Friday 0700-1900. The hours being advertised are 30 hours and full flexibility is required.

Main duties of the job

1. Plan and organise the administrative function, including dealing with referrals, making appointments in a timely manner, setting up a nursing folder, printing the relevant pathway and printing labels, and sending a blood form request form with the appointment if required.
2. Communicates with a range of contacts internally and externally, for example, Managers, GP’s and medical staff and, where appropriate, patients, visitors and other clients on issues relating to the operation of the designated area of responsibility. Such communication will involve information some of which will be routine/straightforward, but also in certain instances have a degree of complexity. Additionally, certain elements will be of a sensitive nature and require, on occasions, a tactful and/or persuasive approach
3. To ensure patients are made appointments that are appropriate while maximising the units capacity and patient flow, using the seating plan efficiently. Ensure that the ward planner is up to date. To cross reference the diary sheets with ongoing patient lists ensuring follow appointments are not missed
4. To ensure all patients referred have a prescription and liaise with the referring consultant team re; any queries or blood test results and follow local policy and governance with regard to the transportation of patient records.
5. Ensure the patients prescription is sent to pharmacy and record using local protocol so the location of the prescription chart is known. To liaise with pharmacy regarding any outstanding prescriptions to ensure that all medication is available at the time it is required.

Essential criteria

13. Educated to NVQ Level 3, BTEC Level Higher National Diploma & Certificate (HND/C) or equivalent level. 1 years’ experience working at NVQ level 3 or above

Desirable criteria

15. Previous experience of dealing with sensitive and/or complex situations
16. Experience of dealing with confidential information.

17. Previous NHS experience in an administrative capacity, including cay care treatments.
