We are seeking a proactive and highly organised Events Assistant to support the delivery of a diverse programme of events with a leading institution based in central Cambridge. As the Events Assistant, you will play a key role in ensuring that all events run smoothly and to a high standard, acting as the first point of contact for event-related queries and managing the delegate registration process. You will coordinate catering and logistics, develop strong working relationships with internal teams, and provide administrative support to the Senior Leadership Team. This is a hands‑on role requiring flexibility, attention to detail, and excellent communication skills.
The assignment is to start as soon as possible and will run for approx. 3‑6 months. This is a full‑time position working 36.5 hours a week and may include some evening and weekend work.
Responsibilities
* Event Management: Book venues, accommodation, and catering; prepare logistical plans; support events on the day; complete event documentation; handle confidential information.
* Delegate & Queries: Act as first contact for event queries; manage registrations, communications, and materials; track revenue for pay‑to‑attend events.
* Administration & Finance: Maintain Master Event Calendar; support invoicing and event costs; follow purchasing procedures and negotiate suppliers.
* Communication & Liaison: Build strong relationships with teams and suppliers; contribute to team objectives; stay updated on industry best practices.
Key Skills and Experience
* Experience in a customer‑facing role with exceptional customer service skills.
* Working knowledge of event management principles, catering practices, and dietary requirements.
* Excellent oral and written communication skills with diplomacy and tact.
* Calm, efficient, and adaptable under pressure with strong organisational skills.
* Ability to manage competing deadlines with accuracy and attention to detail.
* Team player with creativity and initiative.
* Proficient in Word, Excel, Outlook, and database systems; ability to learn new platforms.
* HND, HNC, Level 4/5 vocational qualification, or equivalent practical experience.
* Willingness to work at events where alcohol is served, including evenings and weekends.
