Overview
An opportunity has arisen for an Office Manager to join our Occupational Health (OH) department. In this role you will manage a small team of clerical assistants to support the administration service of the Occupational Health provision for our employees. You will be directly supporting our clinical team to deliver a wide range of internal OH services by managing the day to day running of the administration activity. You will work closely alongside the Occupational Health Unit Lead and other clinical colleagues including Occupational Health Nurse Advisors, and Psychological Therapists to ensure employees health and wellbeing needs are met and a high level of service delivery is maintained.
Occupational Health in Policing is challenging but extremely rewarding. In this busy and varied role you will attend internal and external meetings, liaise with departments and key stakeholders across the force to enable the relevant advice, guidance and support for employees is available. You will help manage the departmental budget and oversee the maintenance of the OH building ensuring a safe working environment. A key part of the role is to ensure the computerised medical record system is maintained, to ensure safe storage of medical information, you will work closely alongside the medical records provider, the Occupational Health colleagues and Information Technology teams to ensure data security and compliance.
In this role, your main responsibilities will include:
* Supporting and providing leadership to the administration team, ensuring they are recruited, trained and directed to achieve the department objectives
* Managing the audit function, ensuring Occupational Health Services meets the needs of the Constabulary, ensuring a quality service is maintained.
* Supervising staff and managing all personnel related issues.
* Responsibility for ensuring the efficiency of administrative processes within the unit and to implement any changes necessary.
* Responsibility for all building issues including the upkeep and maintenance of the OH building, including fire alarm testing, reporting faults, managing external contracts.
* In conjunction with the Finance Business Partner, monitor all levels of expenditure relating to operational costs, including raising and managing purchase orders and processing invoices from external suppliers ensuring accurate records are kept and appropriate entitlements processed.
Skills, experience and qualifications required:
* Skilled communicator with the ability to build working relationships both verbally and in writing
* Skilled computer user with a good knowledge of Microsoft Office packages with the ability to maintain records on databases and experience of producing concise written reports and presentations
* Excellent organisational skills
* Experienced in day to day office administration procedures
* Experience of leading a team supervising staff on a daily basis (i.e. welfare, recruitment, disciplinary, career reviews)

Additional Information
You will work on-site at Portisfields in Portishead, located 5 minutes from Junction 19 of the M5. This role works 37 hours per week Monday - Friday. The Occupational Health unit is open between 0800 and 1745, working hours to be discussed with the successful candidate.
