OVERVIEW: A fantastic opportunity has arisen for a Senior Legal Secretary ideally within Private Client and Contentious Trusts & Estates and to work for this highly prestigious London City law firm that has a fantastic culture and market reputation. Candidates will be considered from other practice areas if they can demonstrate expertise as a Senior PA, and particularly those with Dispute Resolution or Family expertise. The role is to support working at Senior Partner level and with additional support to Senior Associates. It is envisaged that you will need a minimum of 7+ years expertise and be working as a Senior PA or EA, and you are now looking for your next step in your career. The Contentious Trusts & Estates team specialise in trusts and estates disputes and often with an international element, probate disputes, and inheritance act claims. The role is challenging, exciting, and you will be involved in extensive client liaison and gatekeeping. The role requires a forward-thinking PA with acute attention to detail and who can multi-task in this busy and rewarding role. JOB DESCRIPTION As a Senior Legal/PA your duties will encompass:- Responsible for all aspects of the administrative and secretarial work for the Contentious Trust and Estate Partners and Associates Diary management. Understanding workload and prioritising duties to ensure best practice Providing a professional and personable point of contact for all external parties, particularly clients General administrative duties including AML checks, file opening, monthly billing, and file closing Managing team members diaries and outlook calendars including arranging travel where required Liaising with Marketing and team members in relation to the production of team briefings. Document production, some audio, and copy typing of correspondence using digital dictation on occasion Organising various internal and external meetings including room bookings, refreshments, and IT equipment for the team Acting as the first point of contact for Fee Earners, managing telephone, voicemail and out of office email messages for the team when they are not available and responding or re-directing where necessary Reconciling and processing expenses, monthly billings, and invoice preparation for the Fee Earners Distributing documentation internally and externally, electronically, or hard copy Ensuring all team electronic and hard copy filing is managed in a timely and efficient manner in strict accordance with the firms procedures Organising client events and ensuring meeting rooms are fully set up. Organise business development meetings and events for Fee Earners, and assists in the production of business development materials in liaison with the Marketing team Research to include new clients and contacts and prepare reports/bios before meetings, and conducts basic research of the Fee Earners, able to always recognise client confidentiality as the work can be highly sensitive Personal Competencies: You will need to be able to demonstrate strong interpersonal and communication skills, good commercial awareness, business acumen in this diverse, stimulating, and responsible role, taking ownership of decisions and delivering a high-quality service Previous Legal PA experience of working in a fast-paced environment ideally Private Client, although experience of other practice areas will be considered.
