Location: Cumbernauld, Scotland
Join an established national engineering contractor as an Administrator / Receptionist supporting a busy project team. This role offers longevity through secured contracts and projects.
The Role:
We are looking for an enthusiastic Administrator who has experience in reception duties. Your daily tasks will include a variety of responsibilities, mainly focusing on reception and administrative tasks.
Reception Duties:
* Answer and redirect phone calls
* Inform relevant personnel of visitors
* Provide refreshments for visitors as required
* Book meeting rooms for staff
* Manage all incoming and outgoing mail, including updating registers/franking
* Ensure recycling (cardboard/plastic) is ready for weekly uplift
* Log new starters and delete leavers from the system
* Report issues with photocopiers and plotters
* Perform printing and copying as needed
* Keep telephone lists up to date
Administrative Responsibilities:
* Provide support to senior management with general administration tasks
* Control documents for both internal and external systems
* Collect and store safety documentation (weekly/monthly reports, briefs, toolbox talks) in the centralised document control system
* Liaise with site teams to gather necessary information for documentation
* Compile commercial reports, including timesheets and staff records
* Manage office consumables (order water, stationery/PPE, site materials as requested)
* Oversee local IT assets
* Compile a monthly Site Safety matrix
* Update the Building Maintenance File regularly
* Book and manage office maintenance/cleaning, including processing monthly invoices
* Take minutes of meetings when required
* Manage the local petty cash account
* Write and distribute correspondence to various project stakeholders
Requirements:
* Proven experience in an administrative role (experience in construction or civil engineering is beneficial)
* Strong organisational skills with the ability to prioritise tasks and work autonomously
* IT literate with proficiency in Microsoft Office packages (Excel, Word, PowerPoint)
* Competitive annual salary (negotiable based on experience)
