This role is accountable for maintaining HR personnel files and retention procedures, overseeing HR policies in collaboration with Legal and Employee Relations, and managing compliance risks and data integrity. The position ensures that the organisation complies with all applicable ethical standards, laws, and industry regulations. Responsibilities include upholding HR compliance, governance, policy integrity, and risk mitigation throughout HR operations, supporting legal, regulatory, and audit requirements, as well as managing right-to-work, visa, and sponsorship responsibilities. Additionally, the role provides support in change management and large-scale initiatives such as TUPE transfers, acquisitions, and mergers. What you will do Operational & Compliance Metrics 98–100% compliance in RTW audits. 100% completion of visa renewals before expiry. Sponsorship licence and immigration management with no loss of licence or breach in RTW status. All HR policies reviewed annually and updated on time. Risk & Governance Metrics Quarterly risk reviews completed with actions closed within agreed timelines. Reduction in compliance-related escalations or HR errors. Zero high‑severity findings in internal/external audit cycles Service & Collaboration Metrics Ticket SLA adherence consistently above 95%. Successful delivery of HR compliance training e.g. safeguarding, immigration & sponsorship with high participation. Cross team and function collaboration to ensure HR compliance. Project & Change Metrics Contribution to TUPE/M&A projects delivered on schedule with zero compliance breaches. Successful implementation of process improvements with measurable efficiency gains. Lead on UK&I compliance, ensuring potential, new, existing and former coworkers’ documentation is compliant with relevant GDPR and legislative requirements. Use analytics, data, and AI tools to maximise efficiencies across HR systems to ensure optimised compliance; guiding decision-making, monitoring impact, and continuously refining the approach. Act as an escalation point for TA and Security screening and DBS queries for the CCDC. Coordinate the archiving process and ensure personnel files are up to date with the necessary documentation and relevant key audit compliance indicators. Manage the annual internal and external HR audit processes to ensure HR and Payroll compliance is in order. Ensure personnel data integrity in all systems, conducting training and feedback on best practice as applicable. Monitor employees Right to Work statuses, ensuring visa and right to work records are maintained accurately and ensuring the renewals process is completed in a timely manner. Anticipate risks, ensuring mitigation plans and controls are in place. Manage personnel file data accuracy and work across HR to ensure quality inputs, running regular reports to identify gaps and remediate issues. Support with subject access request reviews as required. Manage the department tickets responding to all within designated SLA’s and escalating queries where needed. Proactively drive initiatives that improve risk and compliance management. Support with creating and maintaining standardised contractual Terms & Conditions alongside ER and legal. Deliver in line within agreed SLAs and KPIs where applicable. HR administration tasks or any other reasonable task required by the team or management. Deputise for the Head of HR Shared Services Lead UK&I on compliance and risk issues as required. Build key relationships across the business using your influencing skills to gain buy-in to compliance and risk matters. Drive and support change key initiatives across the HR function, contributing to projects that improve processes and outcomes, collaborating with other teams as needed. Support with large scale projects such as TUPE’s, mergers and acquisitions. Support the HRSS and ER teams with complex, high risk and large volume ER cases where requested. Good knowledge of employee relations and employment legislation. Excellent attention to detail and time management.
