Treatment Coordinator
Location: Windsor, SL4
Salary: £16ph-£18ph DOE / Plus Commission
Working Hours:
Full Time 5 Days; 35 hours per week
Monday to Friday 10:00 - 18:00 (1 hour lunch)
Sat 09:00 - 14:00
Please note: First 6 months will be Mon-Fri only. Thereafter, you may be required to work 1-2 Saturdays per month

ROLE OVERVIEW
As the Treatment Coordinator, you will serve as a key liaison between patients and clinical professionals, ensuring a seamless and informed journey from initial consultation through to post-treatment care. You will be responsible for delivering a high standard of patient communication, supporting clinical workflow, and coordinating the scheduling and administrative needs for a wide range of dental and aesthetic treatments.
Key Responsibilities:
Patient Consultation & Care Coordination

Welcome and guide patients through their treatment journey with professionalism and warmth.
*
Conduct initial consultations and assist in treatment plan discussions, ensuring patients fully understand options, procedures, and pricing.
*
Liaise with clinicians to interpret and explain treatment recommendations in patient-friendly terms.
*
Use visual aids such as 3D imaging and Visia Skin Analysis (as directed by clinician) to support treatment education.
*
Provide aftercare guidance and follow-up support for both dental and aesthetic procedures.
Scheduling & Workflow Management
*
Coordinate appointments across the clinic’s 3 treatment rooms to maximise efficiency and minimise downtime.
*
Manage clinician diaries and ensure timely preparation and availability of clinical notes and imaging.
*
Follow up on treatment plans and ensure timely patient bookings and recall systems.
Administrative & Compliance Duties
*
Maintain accurate and confidential patient records in line with GDPR and clinical governance standards.
*
Prepare treatment quotes, consent forms, and relevant documentation for patient approval.
*
Assist with compliance checks, and daily operational reports where required.
Sales & Relationship Building
*
Discuss financial options and treatment packages, supporting patient decision-making without pressure.
*
Promote additional treatments (both dental and aesthetic) when appropriate, in line with patient goals and consent.
*
Build rapport with patients to foster long-term relationships and repeat visits.
*
Must be confident in upselling Aesthetic treatments (always ethically and without over prescribing)
Marketing & Client Engagement Support
*
Support the team in patient engagement initiatives, social media content suggestions, and in-clinic events or open days.
*
Collaborate with the team to identify testimonials and success stories for promotion (with patient consent).
Skills and Experience required:
*
Prior experience in a dental or aesthetic clinic environment (treatment coordination or front-of-house preferred).
*
Excellent communication and interpersonal skills with a patient-centric approach.
*
Organised, detail-oriented, and able to manage multiple tasks in a high-end environment.
*
Confident in discussing treatments and finances with professionalism and discretion.
*
Familiarity with dental software and imaging platforms is an advantage
