Overview
An exciting opportunity has arisen at the Bristol Centre for Enablement in Patchway, within the Wheelchair and Special Seating Service. We are looking for an experienced, enthusiastic and motivated individual to join our well-established team of administrators to deliver a high quality, patient focused service. The successful candidate will provide administrative support to the Wheelchair and Special Seating Service, take incoming calls from service users and healthcare professionals referring into the service, and work closely with the clinical specialist team supporting the patient pathway.
Responsibilities
* Input patient information onto the Wheelchair service computerised database.
* Open all post received by the service and undertake appropriate indicated action.
* Validate and process new patient referrals to the service from General Practitioners, Consultants and other health professionals.
* Close down equipment delivery notes onto the computerised database.
* Arrange collection of no longer required equipment, for example from deceased patients when required.
* Update the patient’s computerised record and check outstanding orders or ongoing interventions.
* Raise collection paperwork on the computer.
* Answer incoming phone calls to support other staff within the clinical administration system.
* Provide administrative support including filing, handling service enquiries by telephone or in person, and meeting and greeting patients on arrival.
* Cover reception during periods of sickness, holidays and breaks and rebook appointments as required.
* Book transport as required.
* Comply with service requirements and North Bristol NHS Trust policies and procedures.
Detailed responsibilities
* Validation of new patient referrals from GPs, Consultants and other health professionals; check referral details against criteria and accredited referrer lists; log patients meeting criteria onto the database.
* Process and file appropriate referrals, issue rejection letters as needed, and pass referrals to clinical staff.
* Update clinic referrals and ensure documentation is current; arrange collection of equipment as needed (including for deceased patients).
* Maintain communication with clinical and other professional staff, patients, carers and healthcare professionals by phone and in person; follow up queries arising from referrals.
* Ensure comprehensive administrative support to the service, including covering phone lines, reception, and general paperwork.
* To book transport and rebook appointments; comply with quality systems and NHS Trust policies.
Qualifications
Essential criteria
* GCSE English or equivalent
* Basic keyboard skills
* Basic experience of database inputting
* At least 1 year of administration experience
* Experience of communicating with patients/customers over the phone
Desirable criteria
* Experience of working within a health or social care setting
* Experience of working with medical records
Knowledge, Skills and Abilities
* Ability to prioritise allocated work
* Ability to work as an individual within a team setting
Personal Qualities
* Ability to project a professional, responsible image in manner and telephone skills
