Role Overview: Project Coordinator
The Project Coordinator is a vital team member responsible for supporting HVAC Capital Works projects in Northern Ireland. The role requires multitasking and prioritization skills to manage a busy workload effectively, based in our Mallusk office.
Key Responsibilities:
1. Coordinate site construction projects to ensure timely and effective completion.
2. Manage scheduling of engineer diaries for optimal coverage.
3. Handle incoming calls and record/manage communications efficiently.
4. Support clients via telephone and email.
5. Log and assign response maintenance calls promptly.
6. Process paperwork for operatives and close calls for payment.
7. Respond within agreed timeframes to meet service levels and contract terms.
8. Achieve targeted KPIs related to contract requirements.
9. Assist in cross-training team members for contract coverage.
10. Perform routine administrative tasks.
11. Communicate with stakeholders and clients effectively.
12. Escalate issues proactively to line managers or clients.
13. Complete additional duties as assigned by management.
14. Ensure compliance with policies and procedures.
15. Support with applications and certificates from authorities/clients.
16. Adhere to safety and confidentiality standards.
17. Schedule daily routes for multiple operatives.
18. Organize materials, liaise with suppliers and subcontractors.
19. Calculate engineer performance metrics and bonuses.
Person Specification:
* At least 1 year of office experience.
* Minimum of 5 GCSEs, including English and Maths.
* Proficient in Microsoft Office.
* Proactive, independent, and well-organized.
* Strong customer focus and professionalism.
* Excellent communication and teamwork skills.
* Adaptable with a positive attitude.
* Reliable and trustworthy.
