FTE: 1.0 fte (working 37 hours per week)

Duration of Contract: Fixed term (until September 2028)

Annual Leave: 25 days plus standard public holidays and an additional 4 days including the closure of our office between Christmas and New Year

Location: MacLaurin Building, de Havilland Campus, Hatfield

The Academic Quality Systems & Projects Officer role will be responsible for supporting academic quality, systems and projects in response to the University’s academic portfolio developments. The post‑holder will be responsible for overseeing the project team’s timely and accurate delivery of administrative activities across a range of UH systems, such as the Student Record System and the Curriculum System. The role also involves effective liaison with internal and external stakeholders.


Main duties and responsibilities

The Academic Quality Systems & Projects Officer must deliver high‑level administrative and organisational support across Academic Services, coordinating validation and review events, producing documentation such as agendas and papers, accurate minutes and generating reports, clerking committees and maintaining programme structures within the Student Record System. You will provide informed guidance to staff based on strong knowledge of University policies, academic regulations and wider HE sectors requirements, while overseeing internal communications and ensuring excellent customer service.

You will undertake the administrative processes for external panel appointments, provide support for the preparation for quality audits by external agencies, offer training and guidance as appropriate in collaboration with Section Heads of both Systems & Surveys and AQA on matters relating to AQ processes, procedures and systems within the remit of Academic Services, all while operating with a high degree of autonomy and flexibility.


Skill and experience required

You will bring substantial administrative experience, ideally gained within a Higher Education environment, along with strong IT skills across Microsoft Office applications, including databases, spreadsheets and word‑processing.

You will be confident managing a variety of competing demands and working effectively under pressure, preferably within a complex and fast‑paced environment. Highly organised and detail‑focused, you will be able to build excellent working relationships with colleagues and stakeholders at all levels. Proven experience of supervising others and working collaboratively as part of a team is essential.

We are looking for someone with a positive approach and excellent communication skills. Experience of report writing is required, and working knowledge of a student record system would be an advantage.


Qualifications required

You will hold a minimum of a degree or equivalent qualification or have proven professional experience at an appropriate level.
