Our client, an employee-owned, B Corp–aligned B2B event experience agency, are now looking for a Workflow Manager for a 9 Month Maternity Cover.
Role Overview
Sitting at the centre of the agency, you will be the engine that keeps their studio running smoothly and their freelance network engaged. More than a scheduler, you’re the operational orchestrator—making sure the right people are on the right projects at exactly the right time.
Your mission is to create the conditions for creativity to flourish: keeping workflows seamless, optimising capacity, and ensuring the team feels supported and set up for success.
Strategic Resourcing & Capacity Planning of Workflow Manager
* Smart Allocation: Assign creative resources based on skills, availability, and development needs to enable the team to operate at its best.
* Total Visibility: Maintain real-time clarity of team utilisation so leadership can plan effectively.
* Forecasting Ahead: Anticipate short-, mid-, and long-term resourcing challenges, raising constraints early with recommended solutions.
* Data Integrity: Keep scheduling systems and timesheet data accurate to support reliable forecasting and agency insights.
Workflow Optimisation & Brief Management of Workflow Manager
* Brief Intake & Triage: Partner with Client Experience to ensure briefs are complete, clear, and ready for resource allocation.
* Remove Bottlenecks: Spot and resolve workflow issues before they affect delivery or quality.
* Prioritisation: Collaborate with stakeholders to set realistic timelines and triage briefs when capacity is tight.
* Lead Alignment: Run regular resource planning meetings with project leads and ECD/ACD to maintain alignment across the agency.
* Continuous Improvement: Identify opportunities to refine workflow and enhance the creative process.
Freelance Talent Strategy of Workflow Manager
* Build the Network: Maintain a trusted roster of freelance talent across all creative disciplines.
* Full Lifecycle Management: Handle talent searches, rate negotiation, bookings, and onboarding—ensuring freelancers are fully prepared for success.
* Budget Responsibility: Work with Finance to track freelance spend against forecasts and flag budget risks early.
