We are seeking an experienced and adaptable Band 3 General Secretary to provide immediate administrative and secretarial support within Mental Health Services. The post-holder will be responsible for delivering a high-quality, efficient, and confidential service to professional staff, service users, and external stakeholders. This is a fast-paced role requiring excellent organisational skills, attention to detail, and the ability to manage sensitive and sometimes distressing information. Key Duties & Responsibilities Provide comprehensive secretarial and administrative support to Mental Health teams. Manage diaries, appointments, and caseload administration (including waiting lists, cancellations, and data cleansing). Undertake typing, word processing, and preparation of correspondence, reports, and minutes. Handle incoming and outgoing calls, dealing with queries promptly and professionally. Act as a point of contact between staff, service users, carers, and external agencies. Maintain accurate electronic and manual records in line with Trust policies and data protection requirements. Support the organisation of meetings, including attendance, minute-taking, and circulation of documentation. Manage correspondence, prioritising and escalating urgent matters where appropriate. Assist in stock control, filing, photocopying, and general office duties. Provide cover for other administration staff and reception as needed. Essential Criteria 4 GCSEs (Grades AC including English Language) or equivalent qualification and 1 years clerical/administrative experience OR NVQ Level 2 in Administration plus 1 years experience OR 2 years clerical/administrative experience RSA/OCR Stage II Text Processing or minimum 12 months word processing experience Competence in Microsoft Office (Word, Excel, Outlook) Strong organisational and communication skills Ability to prioritise workload, use initiative, and work effectively as part of a team Ability to handle sensitive and distressing information with professionalism Desirable Criteria Experience using patient information systems (e.g., PARIS or similar) Experience in minute-taking Experience working in a healthcare or mental health setting Full UK driving licence and access to transport
