To report to the Head of HR (day-to-day coordination with the current team member covering Junior HRBP role)
To provide immediate, high‑quality administrative and recruitment support to the Leasys HR function during a period of temporary resource shortage. The role will take ownership of recruitment coordination, HR administration, contract generation, onboarding logistics, and general people operations support, allowing the existing HR team to focus on business partnering and casework.
1. Recruitment Coordination
* Support the recruitment team to schedule interviews and arrange assessments
* Attend and support interviews.
* Prepare offer letters and employment contracts once approved.
* Issue contracts, new starter forms and onboarding documentation.
* Conduct compliance checks (e.g., Right to Work) and chase missing documents.
* Coordinate induction schedules and ensure new hires have the right information before Day 1.
* Set up personnel files and ensure HRIS information is accurate and complete.
3. General HR Administration
* Support changes to terms and conditions, producing letters and updating HR records.
* Maintain HRIS and internal trackers (headcount, absence, structure charts as required).
* Prepare documentation for monthly payroll inputs (starter/leaver forms, change forms) for sign‑off.
* Provide admin support for training bookings (such as compliance sessions or mandatory training).
* Maintain electronic staff files ensuring accuracy and compliance.
4. Employee Lifecycle Support
* Process leavers, ensuring all administration is completed (final letters, system updates).
* Support with probation tracking, reminders, and paperwork.
* Help coordinate internal communications or HR notices as needed.
5. Additional Support Areas (as capacity allows)
* Assist with engagement activities (e.g., preparing materials, scheduling sessions).
* Support graduate programme administration where needed (booking sessions, tracking documentation).
* Provide basic reporting support (e.g., headcount, recruitment and onboarding status).
The Ideal Candidate will:
* Have previous HR administration or recruitment coordination experience.
* Have a strong organisational and prioritisation skills.
* Have an excellent attention to detail.
* Be a confident communicator, able to liaise with candidates and managers professionally.
* be comfortable working with HR systems, trackers and Microsoft Office (Word, Excel, Outlook).
* have the ability to work discreetly and maintain confidentiality.
* Must be able to work independently with clear instructions.
* Capable of managing competing admin deadlines (recruitment, onboarding, contracts).
* Comfortable working in a fast-paced HR environment.
* Be a team player who can flex priorities based on HR needs.
Salary: £30-£35k per year (pro- rated)
Location: Hybrid – Minimum 2 days in either office Coventry/Slough and when required for recruitment purposes and induction
