Within the Integrated and Holistic Care Group Ward clerk/Administrator post has become available to support the ward and our busy Ward Sisters.

The post holder will be responsible for general ward clerk’s duties supporting the Ward Sister in administrative tasks to assist in the management of their team.


Main duties of the job

Administrative experience and skills in a healthcare setting

*
o Are familiar with office programmes such as Microsoft Outlook, Excel and Word as well as the Trusts’ Patient Administration System, Digital Patient Record, Datix and the staff E-roster system
o Good communication skills and can engage with the multidisciplinary team effectively
o general ward clerk duties such as filing, excellent customer care and phone manner, communicating throughout the team, using patient systems such as PAS, Datix and DPR
o The care group can support you in opportunities to develop and enhance your skills including NVQ Business Administration skills within fast paced and supportive ward environments.

Detailed job description and main responsibilities

Work as a part of a team, providing smooth clerical and administrative service to the ward, in line with trust policies and procedures.

To be responsible for the effective and efficient management of patient records as per trust policy.

To ensure that all data entries are made in a timely manner and by doing so, contribute to the Trust's targets, whether mandatory or local.

To assist and support the team to ensure the delivery of a high-quality service, requiring the use of good clerical, communication and interpersonal skills.

To offer friendly, polite and personal point of contact for all patients, their families and members of the public.

EDUCATION, QUALIFICATIONS & TRAINING


Essential criteria

* Educated to GCSE Grade C, including English and Maths
* NVQ3 or equivalent qualification in relevant subject


KNOWLEDGE & EXPERIENCE


Essential criteria

* Recent previous experience within a comparable role within a customer focused environment
* Recent previous experience of arranging meetings for others and diary management
* Knowledge and experience of administration and /or office procedures


SKILLS & ABILITIES


Essential criteria

* Evidence of good communication skills, engaging with both staff and members of the public, both verbal and written including minute taking skills
* Demonstrated ability at exercising tact and diplomacy
* Ability to work effectively in a team and under direction on routine tasks without the need for supervision
* Ability to use own initiative, prioritise and apply a practical problem solving approach in everyday situations and meet deadlines
* Demonstrates confidential and effective written and verbal communication skills, with the ability to empathise, be supportive and sensitive to the needs of others
* Demonstrates an enthusiastic and flexible approach
* Demonstrates excellent customer care and telephone skills and has an ability to apply attention to detail


Desirable criteria

* Keyboard and typing skills
* Computer literate with an ability to navigate around various systems and software packages including MS Office, Outlook, the Internet and databases
