University Hospitals Birmingham NHS Foundation Trust – Band 3 Pharmacy Governance Administrator (closing date 11 May 2026)
The post holder is a key member of the pharmacy governance team and is expected to ensure that high quality administrative and secretarial support is provided at all times, while supporting the management team. The successful candidate will have previous experience in general secretarial and administrative duties and will assist the Associate Chief Pharmacist for Clinical Governance and the Pharmacy Clinical Governance Operational Lead with the administration of the Trust Non‑Medical Prescribing and Patient Group Direction approval processes, as well as supporting the wider pharmacy governance team with audit processes.
Main duties of the job
The post holder acts as the main point of contact for the Trust pharmacy governance team, providing general administrative support to the Associate Chief Pharmacist Clinical Governance and the Pharmacy Clinical Governance Operational Lead, and addressing all relevant queries and complaints in a timely manner.
They will support the approval process for Non‑Medical Prescribing, manage documentation for Patient Group Directions, administer medication audit processes, maintain contact databases, facilitate and take minutes for the Trust Safe Medication Practice and Medical Gas meetings.
They are expected to prioritise their own workload, work independently, and communicate well as a team player.
Qualifications
* Good general education (e.g. GCSE English and Maths A‑C/4‑9 or equivalent)
* RSA level II or equivalent experience
* Business Administration NVQ level 3 or equivalent experience in an administrative environment
Experience
* Experience dealing with public/customer service
* Experience in a secretarial/administrative role with proven problem‑solving
* Experience with Microsoft Office packages (Word, Excel, Outlook)
* Knowledge of routine and non‑routine issue resolution
* Full understanding of Information Governance and Patient Confidentiality
* Demonstrated understanding of equality and diversity
* Experience transcribing formal minutes
* Experience using Trust IT systems
* Experience working in a busy environment
* Experience working in Healthcare
