Job Purpose
To provide administrative and coordination support to the project delivery team, ensuring client projects run efficiently, on programme, and in line with company procedures.
Key Responsibilities
Project Coordination
• Assist Project Managers with day-to-day project administration
• Maintain and update project documentation (drawings, statements etc..)
• Track project progress and report updates to the team
• Coordinate site start dates, logistics, and labour requirements
Documentation & Compliance
• Prepare and issue relevant paperwork and documentation.
• Maintain health & safety records and site files
• Ensure all documentation is up
Communication
• Act as a point of contact between site teams, clients, and suppliers
• Schedule meetings and take minutes where required
• Distribute key project information to relevant stakeholders
Procurement Support
• Assist with ordering materials and plant
• Liaise with suppliers to confirm deliveries and resolve issues
• Track orders and maintain procurement logs
Commercial Support
• Help compile project cost documentation
General Administration
• Maintain project folders and filing systems
• Support preparation of reports and presentations
• Manage emails, correspondence, and diaries for the project team
Skills & Experience Required
Essential
• Strong organisational and time management skills
• Good understanding of Microsoft Office (Excel, Word, Outlook)
• Excellent communication skills (written and verbal)
• Ability to work in a fast-paced environment
Desirable
• Experience in engineering or related industry
• Knowledge of health & safety documentation
• Familiarity with project management or document control systems
