About the Role
Costello Medical is a global, B Corp certified medical communications consultancy, continuing to grow rapidly thanks to our commitment to exceptional client service and the delivery of high‑quality scientific work. To support this growth, we are looking for a Business/Commerical Administrator to join our friendly, ambitious and highly collaborative External Engagement team.
External Engagement sits at the heart of the business, acting as the bridge between our scientific and operational teams across all geographies. The team is responsible for supporting business development and marketing Costello Medical and our services, helping to ensure the company continues to win exciting projects that make a real difference to healthcare worldwide.

In this role, you will contribute to our business development and commercial processes, assisting with a range of administrative tasks that include:
Commercial & Negotiation Support
8. Supporting the administration of commercial negotiations with our clients across the pharmaceutical and healthcare sector, including preparing background materials, gathering historical communications, and coordinating key documents
9. Using Excel to prepare pricing documents (known as rate cards) by pulling data, calculating new rates, and producing proposals for new rates
10. Managing and updating commercial information in our internal system
11. Managing the team’s shared inbox by replying to queries, triaging requests to the relevant team member and ensuring timely responses
12. Organising and supporting regular team meetings across the company that focus on commercial-related topics, including scheduling, preparing agendas, note taking, and circulating actions
Business Development Support
13. Contributing to business development campaigns and activities for our client facing teams
14. Conducting client pipeline research and supporting with our client partnership survey
15. Helping maintain our database of client contacts and supporting broader business development processes
Data, Documentation & Process Administration
16. Running reports and updating internal records across our CRM and contract management systems
17. Creating and formatting documents and presentations, as well as reviewing documents for accuracy
18. Drafting, responding to, and filing emails from internal colleagues and external clients
19. Supporting annual projects such as company‑wide rate card reviews and the annual strategy meeting for the Commercial team
You will also provide general administrative support to the Commercial team and, if required, the wider Operations department.
You will receive comprehensive one-to-one training from experienced members of the team, learning about effective commercial and business development strategy as well as project management. We also offer the opportunity to take on responsibilities that align with your strengths and interests. For example, as your experience grows, you may also contribute to:

About You

Essential requirements for the role are:
23. A degree, apprenticeship or high level qualification in a relevant subject (minimum or equivalent)
24. A strong level of confidence using Excel and working with numbers, including the ability to apply basic formulas and handle data accurately
25. An excellent level of written accuracy, attention to detail, and the ability to critically review the presentation, style, and content of your own work
26. Exceptional organisational skills and the ability that allow you to plan your time effectively to ensure deadlines are met
27. The ability and desire to understand project objectives, appreciating how individual tasks feed into the bigger picture of the project and wider company strategy
28. An aptitude for delivering outstanding customer service and relationship building, alongside the ability to tailor your communication style (such as tone and frequency of interaction) to suit various audiences and situations, both internally and externally
29. An excellent level of productivity, whilst effectively utilising time and resource available
30. A high degree of tact, discretion and professionalism when dealing with confidential information
31. Excellent proficiency in written English and arithmetic
32. Fluency in Microsoft Word, Excel, PowerPoint and Outlook
33. An interest in using technology and AI tools to enhance efficiency, streamline processes and continually improve ways of working
