MAIN PURPOSE OF ROLE

To act as a trusted Executive Assistant to the Chief Executive and provide administrative support to the Chief Financial Officer, Chief Marketing and Customer Affairs Officer and Chief People Officer, providing proactive, high‑quality support that enables effective leadership, decision‑making and delivery at pace.

The role requires exceptional organisational skill, sound judgement, resilience under pressure and absolute attention to detail. The post‑holder will flex across priorities, respond calmly to changing demands, and provide seamless support to the wider Executives and Board as required.


MAIN RESPONSIBILITIES

Executive Support

* Act as a highly trusted partner for the Chief Executive, supporting him to manage time, priorities and information flow with discretion and sound judgement
* Proactively anticipate upcoming pressures, risks and pinch points, ensuring the Chief Executive and wider Executives are fully prepared
* Take full ownership of travel arrangements, proactively anticipating and resolving issues in advance to ensure a seamless experience on arrival
* Provide administrative support to the Chief Financial Officer, Chief People Officer and Chief Marketing & Customer Affairs Officer, predominantly diary management and logistics
* Manage fast‑moving diaries where priorities can shift frequently, maintaining calm, accuracy and control at all times
* Handle sensitive and confidential matters with absolute discretion and attention to detail
* Provide flexible support across the Executive team, picking up work as needed to ensure business priorities are met including staff briefings, off-sites, employee events and client hospitality


Investor relations

* Provide support to ensure the IR programme is appropriately administered and organised, including scheduling of meetings outside the roadshow, assisting with shareholder letters and updating the IR database
* Half and Full Year investor roadshows; liaising with appropriate brokers to put together a roadshow schedule and information pack and ensuring that all logistics and necessary details and requirements are managed from start to finish
* Drafting and managing the internal results timetable, ensuring effective coordination with Corporate Affairs, the Company Secretary, and Finance teams to align key dates, approvals, and deliverables across the business



Executive Board/Executive Committee

* Maintain the Executive Board and Executive Committee calendar and prepare agenda and papers using Diligent Boards
* Organise logistics for all Exec Board/Executive Committee related meetings and events


Plc Board

* Provide support and liaison services to members of the Board and Board Committees, including issuing and amending meeting invitations, maintaining the Board calendar, administering Non-Executive Directors’ expenses and travel arrangements, assisting with the arrangements for Board and Board Committee meetings and general office support for the Non-Executive Directors
* Draft the annual schedule for subsidiary Board, Management and Risk & Controls meetings
* Produce tailored induction schedules and comprehensive information packs for new Executive Committee and Plc Board members
* Arrange venues for board meetings; 1:1 meetings involving board members, board dinners, strategy days, AGM and any other board event
* Organise refreshments for all board and committee meetings, events, and the AGM
* Act as Secretary to the Employee Forum Committee
* Provide admin support to the Company Secretary for board related tasks


Team Management

* Co-ordinate and manage the PA team
* Host weekly catch up to run through requirements for following week including IT where necessary


QUALIFICATIONS AND EXPERIENCE REQUIREMENTS

* Prior EA experience at CEO and Board level, ideally within a plc
* Experience of prioritising, planning and delivering own workload to meet deadlines
* Experience of preparing and delivering reports and presentations
* Experience of using a variety of systems and databases including accurate keyboard skills and a strong working knowledge of MS Outlook, Word, Excel, PowerPoint
* Experience co-ordinating and managing a small team

* Meticulous attention to detail, recognising the reputational and commercial impact of errors at Executive and Board level
* Personally accountable for the quality, accuracy and completeness of all outputs, communications and logistics
* Demonstrates mature judgement and confidence to challenge or clarify when required
* Thrives on variety and ambiguity; willing to “roll sleeves up” and take ownership of whatever needs doing
* Emotionally intelligent, calm under pressure and able to absorb stress without it impacting delivery or relationships
* Operates effectively in a fast‑paced, high‑pressure environment with competing and changing priorities
* Demonstrates personal resilience, flexibility and a solutions‑focused mindset when responding to urgent or unexpected demands
* Office based Monday to Thursday with flexibility to attend on a Friday when needed, e.g. for Board meetings
* Available out of hours occasionally to deal with urgent requests remotely and support on-site meetings that are starting earlier/later than usual
