Job summary
To provide an efficient receptionist service to all visitors attending the Good Hope Hospital Department and maintain a sensitive friendly approach. Working on the reception desk meeting and greeting staff and visitors; dealing with general enquiries, answering the telephone, and carrying out administrative duties.
This is a full-time post, 37.5 hours per week.
The department delivers a 7-day service across 12 hours, and it is therefore necessary for staff to work flexibly including weekend work on a rotation basis.
The hours required are as follows:
* Monday 8:00-17:00
* Tuesday 8:00-17:00
* Wednesday 14:00-20:00
* Friday 08:00-17:00
* Saturday 09:00-15:00, the following week will be 15:00-21:00 (This rotation pattern continues on an ongoing basis).
Main duties of the job
* To welcome staff and visitors in a friendly and professional manner, dealing with enquiries appropriately.
* Receiving and sending emails, sending faxes, dealing with photocopying and distribution of copies as instructed by Line Manager
* Receiving and distributing of daily post/ deliveries and action as required
* Undertake filing.
* Answering the telephone in a courteous manner recording all messages accurately and referring on appropriately
* Maintain confidentiality of records on the telephone in conversation and in writing
* Ensure the reception area is kept tidy.
* Organise ordering of stationery and storage
* Report any problems to line manager as appropriate.

* Work collaboratively as part of an integrated team
* Work within and keep up to date with National and Trust legislation, guidelines, policies, procedures, protocols and code of conduct relating to own role.
* Participate in and contribute to the effective introduction of new systems and initiatives leading to the improvement and development of services.

Person Specification
Qualifications
Essential: Good General Education (e.g., GCE in A-C or GCSE Level 9-4). A pass in English and Maths is essential. Business Administration NVQ level 3 or equivalent experience in an administrative role.
Experience
Essential: Experience of dealing with the public / customer service; experience working with Microsoft Office packages (Word, Excel, Outlook); experience of using IT systems.
Desirable
Experience of working in a busy environment; experience of working in healthcare.
