Lead Planner

We are currently looking for a Lead Planner to join our team in Crawley.


Job Purpose

The Lead Planning & Logistics Coordinator is responsible for overseeing the effective scheduling, resource planning, and logistical coordination of the organisation’s repairs, maintenance, and planned works within the social housing portfolio. The role will lead the planning team to ensure optimal workforce utilisation, minimal downtime, and a consistently high level of customer service to residents.


Key Responsibilities


Planning & Scheduling

* Lead and manage the scheduling team to ensure efficient allocation of operatives, subcontractors, and resources for responsive repairs, voids, planned works, and cyclical programmes.
* Oversee daily scheduling operations to maximise productivity and ensure timely completion of works within service level agreements (SLAs) and key performance indicators (KPIs).
* Coordinate the forward planning of resources for planned and cyclical works programmes, ensuring works are grouped efficiently to minimise travel and downtime.
* Manage emergency and urgent work allocation to ensure timely responses.


Logistics & Coordination

* Optimise logistical processes, including material deliveries, stock management, and coordination between suppliers, operatives, and residents.
* Ensure that the right materials and equipment are available when and where needed to prevent delays.
* Liaise closely with internal teams, contractors, and supply chain partners to proactively resolve scheduling conflicts and logistical challenges.


Leadership & Team Management

* Provide leadership, guidance, and day-to-day supervision to the planning and scheduling team.
* Monitor team performance, deliver training, and promote a customer-focused, solutions-oriented culture.
* Lead on process improvement initiatives to enhance scheduling efficiency and service delivery.


Customer Engagement

* Support effective communication with residents regarding appointment scheduling, work progress, and rescheduling when necessary.
* Ensure the planning team handles resident queries and complaints in a timely and empathetic manner.


Data & Performance Monitoring

* Use scheduling and housing management systems to monitor operative productivity, job completion rates, and missed appointments.
* Produce regular performance reports for management, identifying trends, risks, and opportunities for improvement.
