Overview

Menard Ltd are seeking an Administrator to join our busy Operations Department in Camberley. This role provides a range of specialist and general administrative duties to the Camberley office, the Procurement Department, and the Works Manager, with responsibility for collating weekly timesheets for submission.


Key Responsibilities

* Collate and record the weekly staff timesheets in a presentable format for the Works Manager every Monday. Obtain information from business management systems and review against project requirements in line with company procedures.
* Assist the Works Manager in reviewing weekly agency worker timesheets.
* Assist the Works Manager with labour coordination, including liaising with suppliers as needed.
* Undertake a full range of administrative duties in the Camberley office to ensure an efficient system; coordinate and manage paperwork, maintain accurate and secure paper-based/electronic filing systems, and manage office supplier/resources.
* Obtain material and equipment prices for the estimating and operations departments in the Southern region. Occasionally speak with and meet suppliers to discuss project requirements and service levels.
* Assist the Operations Coordinator/Buyer with placing subcontract and material orders using the company invoicing/payment system; ensure all orders are accompanied by business requirements.
* Provide support to the Operations Coordinator/Buyer and cover during holiday periods.
* Arrange and attend team meetings/conferences as required and take minutes.
* Handle confidential paperwork as required.
* Assist with organizing operational quality records through online portals (Powerforms).
* Ensure compliance with business strategy and procedures.
* Assist in keeping the company supplier database (SCAD) up to date.
* Work with the Operations department to keep KPI data up to date and manage NCRs.
* Collaborate with the entire process team (including operations, preconstruction, commercial, plant, business development and design) to ensure effective and efficient project delivery.
* Maintain a relentless focus on safety and wellbeing (WORKSAFE/HOMESAFE).


Qualifications and Skills

* Administrative experience in a busy office environment with strong organisation, communication, and teamwork skills.
* Experience in purchasing and business purchasing systems.
* Good IT skills, including Microsoft Excel and Word.
* Ability to maintain confidentiality at all times and ensure work complies with business strategy and procedures.
* Capable of advising senior management when urgent action is needed and communicating ideas effectively to both internal teams and external stakeholders (suppliers, subcontractors, and operatives).

Role Details & Benefits

This is a full-time role, 37.5 hours per week, Monday to Friday.
