About the Opportunity This fantastic role is for an Operations & Project Manager looking to join as a key member of our Business Solutions (BST) team. This role is responsible for overseeing the day-to-day business operations of the firm, to ensure the efficient, compliant and professional functioning of the firm’s leadership and Sydney office. Additionally, this position will manage operational efficiency, support staff, project delivery, support compliance, governance and risk requirements and provide strategic support alongside senior leadership. The role has a national focus working closely with other key support members across our six offices (Brisbane, Canberra, Melbourne, Newcastle, Perth & Sydney). Key Responsibilities As the Operations & Project Manager, you will be responsible for overseeing and coordinating day-to-day business operations of the firm and its projects. Your duties will include: Manage lease compliance and landlord relationships Co-ordinate lease negotiations with internal legal team and tenant representatives, oversee fitouts, moves, and maintenance Oversee facilities, vendors, contracts, renewals, and procurement Oversee travel policy and its operational efficiencies Serve as after-hours premises emergency contact and arrange remediation as required Capture and co-ordinate insurance renewals Apply agreed updates to risk management system including Modern Slavery reporting, Business Continuity Plan and emergency contact list Prepare policy and related processes for AML/CTF Co-ordinate emergency response and co-ordinate annual BCP tests alongside other BST members Prepare/update Operations updates for board reports as required Administer online registries/portals Support creation and maintenance of policies and related training modules Support Head of IT and/or IT Security & Compliance Analyst on IT governance and compliance Co-ordinate with BST managers and other senior staff regarding compliance with Legal Services Agreement conditions Co-ordinate WH&S such as reviewing ergonomic assessments and equipment requirements, test & tagging Ongoing monitoring of regulatory changes potentially impacting the firm Lead and mentor support teams and conduct performance reviews for team members Chair monthly support staff and office co-ordinator meetings Prepare usage reports Conduct/attend operations focused inductions for new starters Act as delegate for COO as required Draft internal and external communications as required Manage and lead continuous improvement projects and support other cross-functional projects as required About you To be considered for this opportunity, you will have: Completion of Higher School Certificate (or equivalent) Relevant tertiary qualification/certification and/or post graduate qualifications highly regarded First Aid certification and/or Fire Warden training (or willingness to obtain) Minimum five years’ experience in a senior administrative, executive manager role or office/practice manager role, ideally within a professional services environment Experience in an operations leadership role across muti-site environments Hands on leadership style with ability to balance strategic oversight and operational involvement Intermediate/Advanced MS Suite skills iManage and/or Aderant experience and exposure to AI systems highly regarded High level of discretion, professionalism and confidentiality Proven ability to work autonomously, manage competing priorities, and meet deadlines Strong attention to detail Confident communicator with the ability to engage effectively with stakeholders at all levels Uses technology to maximise efficiency on a day-to-day basis and willingness to learn new technologies.
