Main purpose of job:
To support PRISM with administration requirements on a day to day basis. Ensuring all information is clearly communicated in line with legal requirements.

Attendance and Welfare coordinator
Location:
PRISM – Girlington (both sites)
Salary:
£13.05- £ 13.90 per hour
Monday to Thursday 8.30am – 4.30pm, Friday 8.30am
Role and Responsibilities to include:
Ensure a high standard of health and safety is adhered to at all times.
Ensure that an up-to-date risk assessment is available for all activities to be carried out on site.
Attend and contribute to meetings to identify tasks, safeguarding, health and safety issues and provide updates in relation to post
Participate in supervision with line manager
Participate in regular CPD activities as directed by line manager
Contribute to the identification and planning of tasks to be completed with the groups
Demonstrate ability to work using own initiative, demonstrating a high level of self-organising ability.
Demonstrate ability to work to a set timescale and deadlines
Work alongside other projects to ensure services users receive a seamless service
Adhere to Prism’s policies and procedures in relation to all aspects of the organisation, ensuring that all service users including pupils are safeguarded and concerns reported as required
To be an advocate for Prism both within and outside of the organisation
Produce written professional reports in relation to the role when required
Any other reasonable tasks as directed by senior management
Reception duties including: welcoming visitors and dealing with security arrangements, answering and fielding calls, dealing with enquiries on the phone, face to face and via email, dealing with deliveries and assisting with pupil enquiries.
To liaise with the services provided including Finance, HR, Site, IT and Teaching;
To ensure all legal admin tasks are completed in good time and to a high standard;
To ensure all data held about individuals within the school community is up to date and held in line with data protection guidelines;
To liaise with and provide a high level of customer service to all the school’s stakeholders e.g., staff, parents, schools, Referring Agencies, visitors etc…;
To maintain high levels of confidentiality and professionalism at all times.
Opening and distributing post, some of which could be confidential.
Contacting parents and carers on a variety of matters.
Operational Support to senior Management
Liaison with outside agencies and businesses on behalf of the school.
Management of the School Database System, SIMS and Provision Map (training will be provided);
Assisting the Attendance Coordinator and SENDCo with administrative support, open days and special events.
To assist with necessary procurement of items required.
Take minutes and scribe for meetings when required.
We would like from you:
have achieved grade C, or above, in 5 GCSE subjects, including Maths and English;
have experience of working in a school office and/or have the skills to run the office of a school.
have the ability to work under pressure and to meet deadlines;
have the ability to work effectively as part of a team;
have great communication skills and the ability to adapt to working with a range of stakeholders;
have competent IT skills and are willing to learn new admin systems. Experience with school admin systems essential however training will be provided on specific systems;
are energetic, enthusiastic and dynamic;
have the ability to handle problems quickly and efficiently;
have the ability to make effective decisions and work independently in a timely manner.
