Job Description
The Facilities Assistant will work across facilities management activities to help create a safe, welcoming, and efficient workplace. You will support front of house operations, ensure facilities services run smoothly, and assist with compliance, coordination, and general administrative tasks. The role involves regular interaction with visitors, colleagues, and contractors, with a strong focus on service quality, safety, and professionalism.
Key Responsibilities
1. Provide facilities assistant support including porterage duties, meeting room set up, and post meeting checks
2. Deliver reception and front of house services, welcoming visitors and supporting them appropriately
3. Maintain a high standard of customer service for all site users and visitors
4. Support security procedures and ensure site protocols are followed
5. Coordinate reactive and planned maintenance visits, including contractor access
6. Assist with inductions for new starters, including health and safety briefings
7. Support compliance activities such as audits, inspections, and record keeping
8. Manage shared mailboxes and provide general administrative support to the team

9. Background delivering a high standard of customer service in a busy environment
10. Strong communication skills with colleagues, visitors, and contractors
11. Ability to work collaboratively as part of a team
12. Organised approach to tasks, priorities, and record keeping
13. Awareness of health, safety, and security requirements
14. Confidence using basic IT systems for email, logs, and documentation
15. Problem solving ability with a practical, can do approach
