Reporting to the Director of Transformation, this role has overall responsibility for successful delivery of the whole portfolio and ensuring cross functional alignment. The portfolio includes a broad mix of transformation across the front, middle and back office of the organisation, many of them have a technology component. The role will encompass existing programmes in the portfolio, as well as managing the new demand intake process that will prioritise new projects against resource and budget availability. The role will ensure Programme Leads and Project Managers are maintaining transformation governance standards: project plans, risks, issues, dependencies and status reporting. They will own and drive the appropriate level of Transformation and portfolio / programme governance and reporting including setup and facilitation of key workshops and deep diving into opportunities and issues. Job Overview Key Responsibilities Portfolio Management: Provide visibility and consistency of each component of the portfolio - Objectives, outcomes, milestones, RAG status, risks, dependencies, costs, benefits and KPIs Provide independent insight and challenge into the status of the portfolio to the Executive: Continue to improve the reporting and governance of projects at portfolio level - for Monthly Transformation Executive meeting and Quarterly Transformation Reviews Complete build of a consistent programme management framework, toolkit, including charters, business cases, plans, risks, dependencies, benefit tracking (with Finance) Act as flight traffic control of the portfolio - flagging successes, issues, risks, dependencies for attention of the Transformation Director and Executive Sponsors Define and own the long-term integrated portfolio plan - articulating key milestones across the portfolios and where dependencies need to be managed Deep dive and assist individual programmes and projects during project / programme set up phases or when there are issues Build & manage a portfolio resource capacity tracker to identify capacity issues for escalation Provide assurance on business cases to secure funding Work closely with Finance Business Partners to manage ongoing programme finances and KPI measurement Ensure appropriate and timely communications are shared about the transformation portfolio Governance & Meetings Drive and support the creation of Executive reporting and deep dive materials when required Lead the Monthly Transformation Portfolio team reviews Manage the new project demand process Lead and manage interdependency meetings Attend programme and project level status reviews as needed People, Process and Change management Manage a small Transformation PMO team consisting of PMO Lead and PMO analysts Identify business change management needs across the portfolio - and bring in change management resource as needed Skills & Experience Customer first mentality with a strong internal customer centric approach Ability to manage a wide Portfolio that touches every aspect of the business, including technology enabled change Deep understanding of working in agile and waterfall environments Excellent analytical & problem solving skills Excellent knowledge and handling of programme and project management methodologies and techniques Self-organised and attention to detail as well as being able to manage the strategic elements of the programme Strong commercial acumen and excellent communication skills Ability to influence without authority at all levels Advanced MS Power-point, Word & Excel skills essential Is effective in unifying and creating teams of cross-functional people with different skills and approaches Is decisive, prioritises effectively, maintains a clear focus and sees actions through to delivery Builds trust and demonstrates integrity in all circumstances Pragmatic and flexible, with a willingness to take on different roles and responsibilities to help deliver the programme successfully Ability to work under pressure and keep a calm head when issues arise Life at RWS At RWS, we're here for one purpose: unlocking global understanding.
