The Personal Assistant will provide high-level administrative support to the Senior Leadership Team (SLT) and work closely with the Executive Assistant to ensure the seamless operation of the MD’s Office. This role is pivotal in managing the extensive diary requirements of the business and providing administrative support that allows the SLT to focus on their strategic goals.
Key Responsibilities
SLT & Administrative Support
* Act as the first point of contact for administrative requests from the wider Director/SLT team.
* Manage complex diaries for the Senior Leadership Team, ensuring efficient scheduling and resolving conflicting priorities.
* Handle the practical booking of national and international travel, accommodation, and transport for the SLT, in line with company policy.
* Manage routine correspondence and draft basic templates, letters, and emails for approval.
* Support the SLT in creating, formatting, and refining PowerPoint presentations for internal briefings, management meetings, and external stakeholders, ensuring all documents are on‑brand and professional.
Support to the Executive Assistant
* Provide high-level administrative support to the EA to help facilitate the delivery of strategic business goals.
* Assist in maintaining and updating administrative processes and digital filing systems.
* Support with meeting preparation, logistics and action taking when required.
* Maintain total confidentiality regarding sensitive business information.
* Act in line with and promote Chess Dynamics’ values at all times.
Key Skills
* Previous experience as a PA, preferably within a fast‑paced or engineering/manufacturing environment.
* Exceptionally well organised, with the ability to manage multiple priorities to tight deadlines.
* High level of accuracy, communication skills and attention to detail.
* Advanced proficiency in Microsoft Office 365 (specifically Outlook, Teams, Word and PowerPoint).
* Strong written and verbal communication skills; able to communicate clearly with senior stakeholders.
* Proactive. The ability to anticipate logistical needs (e.g., travel buffers, meeting prep time, or technical requirements) before they are requested.
* Ability to work independently and as part of a team, with excellent people skills.
