The main purpose of the job is to provide reception and administrative support to the GP Practice to enable the medical and nursing staff to provide an effective, efficient, and caring service to the practice population.
The reception at the surgery is currently open between 08:00 and 18:00 Monday to Friday each week and has a late surgery until 20:00 hours on a Tuesday evening but could include evenings or Saturday openings in the future. The medical reception staff have various duties which include manning the reception desk, dealing with queries from both patients and outside agencies, diagnosis read coding and database recall and screening.
The post is essential for the smooth running of the practice and excellent customer service skills are required.
Main duties of the job
* Greet patients and admit them for their appointments on arrival.
* Direct patients to waiting rooms.
* Notify patients when clinics are running late.
* Answer telephone calls and deal with all enquiries as they arise.
* Make appointments for the team.
* Deal with enquiries for Health Professionals and other agencies as requested in an efficient manner.
* Completion of forms as requested.
* Book and record all urgent ambulance bookings.
* Extract notes and patients\' summaries from computer.
* Register new patients following the practice protocol.
* Deduct patients when they move to new Health Authorities.
* Explain the NHS system and practice system to patients.
* Bring to the attention of the Team Leader/Management team all complaints, comments and suggestions.
* Report on any adverse/untoward incidents.
* Complete the accident book and record incidents when required.
* Deal with emergency calls, telephoning for ambulances, etc.
* Attend to patients when an emergency arises in practice and notify the Doctor/Nurse immediately.
* Prepare rooms in readiness for clinics.
* Liaise with patients regarding appointments, prescriptions, etc.
* Assist in the induction of a new member of staff or student.

1. MAIN DUTIES

2. IM&T
o Add read codes to patients records where necessary
o Ensure patients record is kept up to date electronically, notifying the NEPCSA of changes to patients data.
o Undertake GP Links to the NEPCSA when necessary.
3. FINANCE
o To collect monies from patients for Insurance Reports/Medicals etc and to record all monies coming into the practice.
4. PRACTICE DEVELOPMENT
o Participate in Practice Development Team Building and action plans.
o Attend courses as agreed with the Management Team.
o To comply & keep up to date with the Caldicott guidelines.
o To comply & keep up to date with the Data Protection Act.
o To identify own training needs.
o To undertake training, including statutory and mandatory training and to meet personal development needs.
o Co-operate/participate with research within the practice.
5. PRACTICE PREMISES
o Preparing the premises for opening/closing.
o Be aware and notify the Practice Managers of any Health & Safety Issues.
o Be aware and notify the Practice Managers/Practice Nurse of any hazardous conditions.
o To be familiar with procedures if fire alarm is raised and assist patients out of practice without putting own life at risk.
o Ensure safety procedures are carried out to maintain a safe environment for employees, patients and visitors.
General Professional Duties:
* To support training and development of self and other Practice staff.
* To maintain personal professional competency and appropriate development.
* To carry out the duties and responsibilities of the post in accordance with Practice policies.
* Required to comply with all relevant national and local, statutory and mandatory requirements including Health & Safety, Infection Control, and prevention of Health Acquired Infections.
The post may involve travel for training purposes and the post holder may be required to undertake evening or weekend work.
