Job Description – Support Coordinator
Reports to: Registered Manager / Assistant Manager
Works with: Registered Manager, Assistant Manager, House Leaders, and Support Staff
Location: Supported Accommodation Services
Hours: Full-time, including on-call responsibilities as required
Role Purpose
The Support Coordinator is responsible for coordinating the smooth running of supported accommodation services. This includes overseeing record-keeping, compliance processes, staff rotas, audits, and communication with professionals. The Coordinator ensures that systems and tasks across multiple houses are well-organised and consistent, enabling the team to provide safe, structured, and supportive environments for young people.
Key Coordinator Responsibilities Daily Coordination
· Coordinate the review and approval of ClearCare entries (incident reports, key worker sessions, weekly reports, health and safety forms, bedroom audits, absence return forms, and house meeting forms).
· Coordinate email and telephone communication, ensuring professional and timely responses.
· Coordinate daily safety checks across houses, ensuring standards are maintained and independence folders are in use.
· Coordinate attendance at meetings by scheduling and sharing information.
· Coordinate staff support by arranging cover when needed.
Weekly Coordination
· Coordinate review of weekly reports; ensure amendments are made promptly by staff or House Leaders.
· Coordinate monitoring of health and safety logs and report issues to the maintenance team.
· Coordinate sending weekly reports to social workers and personal advisers.
· Coordinate finance requests each Thursday, ensuring all houses have submitted needs.
· Coordinate house spot checks, including bedrooms, to ensure accurate reporting.
· Coordinate monitoring of key worker sessions, confirming each young person receives 5 hours of support weekly.
· Coordinate review of safeguarding and incident logs.
· Coordinate oversight of fire alarm checks and weekly maintenance submissions.
· Coordinate note-taking and filing for weekly management meetings.
Monthly Coordination
· Coordinate rota preparation and distribution by the 14th of each month; ensure staff have access to schedules.
· Coordinate staff supervisions on a six-weekly basis, ensuring notes are recorded and shared.
· Coordinate the completion and submission of monthly audits (Manager's Audit, Environmental Checks).
· Coordinate monthly activity calendars for each house.
· Coordinate updates to young people's risk assessments and support plans, ensuring these are explained to them.
· Coordinate checks to confirm compliance forms (Gas Safety, Fire Risk Assessments, PAT Testing, EPC, etc.) are up to date.
· Coordinate monthly house meetings with staff and young people, ensuring notes are logged.
· Coordinate filing and updating of young people's folders (new admissions, leavers archived).
· Coordinate monthly staff meetings for updates on young people's progress.
· Coordinate checks on first aid kits and staff offices for safety and data protection standards.
· Coordinate distribution and collection of monthly feedback forms from young people.
Ad Hoc / Annual Coordination
· Coordinate updates to matching risk assessments whenever young people arrive or leave.
· Coordinate quarterly fire drills in each house or when new young people arrive.
· Coordinate setup of physical and digital files for new young people and archive leavers.
· Coordinate updates of house recipe books and photo albums.
· Coordinate compliments and complaints logs, ensuring they are filed and updated.
· Coordinate communication with accounts regarding admissions and discharges.
· Coordinate quarterly professional feedback forms and log responses.
· Coordinate preparation of information and reports required by commissioners and local authority.
· Coordinate tracking of staff training and ensure training records are up to date.
· Coordinate scheduling of meetings and record-keeping of minutes.
· Coordinate opportunities for service development by linking with external agencies (e.g., Police, British Red Cross, Refugee UK).
Person SpecificationEssential Skills & Experience
· Proven ability to coordinate systems and tasks across multiple services.
· Strong knowledge of safeguarding, compliance, and supported accommodation standards.
· Excellent organisational and communication skills.
· Ability to coordinate record-keeping, reports, and audits effectively.
· Confidence in working alongside managers, House Leaders, and staff.
· Problem-solving skills with a proactive and structured approach.
· Commitment to equality, diversity, and inclusion.
Desirable
· Level 3 Diploma in Health and Social Care (or working towards).
· Willingness to progress to Level 5 Diploma.
· Experience with ClearCare, rota systems, and compliance platforms.

Pay: £25,000.00-£26,000.00 per year
