JOB TITLE: Contract Administrator
LOCATION: Wigston
SALARY: £24,784.50
Hours –9am to 5pm.
COMPANY INFORMATION – Contract Administrator
1. Reputable and well-established Building Services company specialising in M&E Engineering including commercial gas and HVAC maintenance
2. Close working relationships with high profile clients meaning long term contracts and security
3. Dedicated to all aspects of maintenance and repair on a wide range of appliances including commercial boilers/burners, oil, chillers, air conditioning
4. Operating a mobile team of mobile engineers with various skillsets across the UK
5. Excellent reputation for delivering quality and high standards of service
6. Leading organisation in M&E Building Maintenance, Air Conditioning and Commercial/Domestic Heating
CANDIDATE INFORMATION – Contract Administrator
7. Good experience of working within an office environment and within an administration background.
8. Good customer services skills, well presented and articulate with a good telephone manner
9. Experience of working on M&E maintenance contracts previously would be advantageous
10. Experience of data entry previously would be advantageous
11. Motivated and trustworthy
12. Well organised with good IT and administration skills including Excel and Word.
JOB INFORMATION – Contract Administrator
13. Working on a few contracts to support the admin manager/admin team.
14. Supporting admin team for part time leave.
15. Processing incoming job sheets to invoicing stage via our systems.
16. Using and updating customer portals.
17. Handling queries on the administration side in a timely manner.
18. General administration/office duties including preparing documents, producing files and filing
19. Liaison with other offices as required.
20. Keeping the client’s portal database up to date on a daily basis.
21. Uploading certification to the client’s portal system to maintain our compliance for the contract terms.
22. Ordering monthly filters/belts
23. Providing reports as required.
24. Keeping on top of WIP.
25. Raising quotations daily.
26. Liaising with suppliers daily for prices/quotations.
27. Potential of attending client meetings as required.
28. Supporting the account managers on the contract as required.
29. Liaising with sub-contractors regularly to ensure paperwork is received and visits are being completed.
30. Raising purchase orders to sub-contractors.
31. Raising sub-contractor and supplier orders.
32. Supporting the team on raising requisitions for engineers where required.
33. Any other administration duties as required by the administration manager.
