Purpose of the Role
To provide a friendly, efficient and professional reception and administrative service for a busy community organisation, ensuring visitors feel welcomed and enquiries are managed effectively.
Key Responsibilities
* Greet visitors and service users, offering a warm and professional welcome.
* Manage incoming calls, emails and appointment bookings.
* Maintain the reception area, ensuring it is clean, organised and accessible.
* Record and update client information accurately using internal systems.
* Support staff with administrative tasks, including photocopying, filing, data entry and room bookings.
* Follow confidentiality and safeguarding procedures at all times.
* Assist with general office duties as required.
Person Specification
Essential
* Strong communication and customer service skills
* Good IT skills (email, Word, databases)
* Ability to manage multiple tasks in a busy environment
* Reliable, organised and able to use initiative
* Professional and approachable manner
Desirable
* Experience in reception/admin roles
* Experience working with the public or in a community setting
* Understanding of confidentiality, GDPR and safeguarding
Hours: Monday 2pm-6pm, Wednesday 2pm-8im, Thursday 2pm-6pm and Friday 9am - 2pm. Must be able to provide holiday cover as required
