Job Description: Administrator & Document Controller Reporting to: Project Manager Location: Grays, Essex Work Pattern: Full-time, Permanent – 5 days a week on-site Salary: £30,000 - £35,000 Role Overview We are seeking a proactive Administrator & Document Controller to support a busy construction project in Grays, Essex. This individual will play a key role in managing project documentation, ensuring compliance, supporting administrative operations, and being the public face of PJ Hegarty on-site. This is a fantastic opportunity to work in a dynamic construction environment. Key Responsibilities Administration & Office Support Greet and assist incoming visitors and guests. Handle general site administration including filing, data entry, and correspondence. Support project meetings: schedule, prepare agendas, take minutes, and track actions. Assist in the preparation of reports, spreadsheets, and other project-related documents. Document Control & Compliance Maintain and update document management systems to ensure accuracy and version control. Distribute project documentation including drawings, specifications, and reports. Log and archive document revisions systematically. Support compliance with internal QA procedures and company standards. Communication & Coordination Facilitate communication between site and office teams. Liaise with external consultants and suppliers to ensure timely receipt and distribution of documentation. Required Skills & Experience Qualifications & Experience Previous experience in a document control or administrative role, ideally in construction or civil engineering. Proficiency in document management systems (e.g., Aconex, Viewpoint, Asite, 4Projects). Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint). Familiarity with ISO 9001 Quality Management Systems (desirable). Full UK Driving Licence required. Personal Attributes Highly organised and detail-oriented with the ability to manage multiple tasks. Strong communication skills with a proactive problem-solving approach.
