The Logistics Administrator will be working closely with the wider UK & international team who are based at our Newgate House Head Office and will be expected to attend meetings with the team at Newgate House.
Key responsibilities:
* Plan UK & International shipments based on product availability and Customer requirements.
* Track customer orders to ensure timely deliveries.
* Progress chasing, communicating late / failed deliveries with supply teams and customer distribution centres.
* Prepare shipping documents including commercial invoices, purchase orders, dangerous goods notes, customs documents and bills of lading.
* Co-ordinate customer orders with production and warehousing to maximise load efficiency and order fulfilment.
* Maintain updated records of orders, suppliers and customers including trackers (Dashboard)
* Provide information and feedback to customers regarding the status of their orders.
* Scheduling booking slots with customers and hauliers / freight forwarders.
* Utilising customer and haulier's online portal systems.
* Contacting hauliers and freight forwarders requesting quotations.
* Following up with customers and freight forwarders for P.O. D's and customs entries.
* Checking export declarations and highlighting discrepancies.
* Tracking and recording shipments via excel & internal systems to demonstrate control of export to meet HMRC requirements and other bodies.
* Working harmoniously with the CS Team and International sales team to update them on the progress of orders and efficiently deal with any queries.
* Working from multi locations subject to the needs of the business
* Working with finance regarding commercial invoices.
* Co-ordinate export orders for picking and loading with the warehouse team.
* Maintain a proficient filing system for all export documentation.
* Dropping customer orders into the warehouse for picking.
* Assign journey references to customer orders.
* Ensure all stock required is allocated to the customer order.
* Create daily load routing /scheduling sheet.
* Complete / process order allocation and forced allocations.
* Liaise with production regarding allocations.
Key Skills required:
* Proficient user of Excel and Word software
* Proficient user of 'I' series, MAM, WHM systems or similar and Spex
