The role
We are looking for someone who is committed to working in a demanding but enjoyable role in the NHS. A small department within a large finance team, we are responsible for maintaining and reporting on a fixed asset register that contains in excess of 8,000 land, building, equipment and IT assets on 8 acute sites in addition to numerous community, health and resource centres. New asset additions average around 1,300 per annum and disposals of over 700 per year.
Capable of working with senior NHS managers, department heads and colleagues at all levels of NHSGGC. The ideal candidate will be highly motivated and able to use their own initiative with suitable communication, organisational, IT and finance skills.
Reporting to the Fixed Assets Manager, you will assist in the co‑ordination of all data for the fixed asset system, to ensure that the asset base is correctly reflected in the financial ledger and that the fixed asset register complies with statutory requirements.
The Fixed Assets Assistant will assist the Fixed Assets Manager in providing advice, support and direction where required, including liaising with department heads, ensuring new equipment is recorded, disposals are processed and undertaking asset verification exercises.
You will have a sound knowledge of NHS financial policies, guidance and related legislation for Fixed Assets and Capital Accounting. Ideally you will hold a professional finance qualification and/or have at least five years experience working in a fixed assets environment. Suitable IT skills, good communication and excellent numerical and analytical skills are also required.
Location, Contract and Working Pattern
* Location: Caledonia House – west of the city, a few minutes’ walk to regular bus and train services.
* Permanent contract – part‑time position.
* Shift pattern: Monday, Tuesday and Wednesday (AM hours).
* Salary is pro‑rata for part‑time hours.
Key Responsibilities
* Assist the Fixed Asset Manager in the day‑to‑day management of the Fixed Asset register.
* Maintain the fixed asset register.
* Coordinate all data for the asset system to ensure accurate reflection in the financial ledger, liaising with department heads about new equipment and disposals.
* Reconcile the fixed assets register with the general ledger and ensure statutory compliance.
* Design working methods and practices that adhere to departmental policies, SFI’s and audit scrutiny.
* Run the monthly and annual accounting cycle for Fixed Assets.
* Plan and undertake asset verification exercises, engaging senior personnel to verify holdings and follow up on findings.
* Provide information for the calculation and forecast of accurate capital charges to senior staff.
* Answer queries on Fixed Assets from other departments, mainly finance, IT, estates and clinical physics.
Knowledge, Training, Qualifications and Experience
* HND/Degree in Accounting or equivalent with at least five years experience in a Fixed Assets environment.
* Sound knowledge of Fixed Assets policies, capital accounting and NHS accounting technical aspects.
* IT skills, principally spreadsheets and word processing.
* Knowledge of eFinancials accounting system and RAM fixed assets system is desirable.
* Ability to provide advice and guidance to staff within the Fixed Assets function and to other finance and non‑finance staff.
* Suitable communication and interpersonal skills for negotiations during asset verification.
* Problem‑solving and analytical skills to resolve unforeseen issues.
