A leading global executive search and private equity advisory firm with a network of boutique partners specializing in high-impact executive hires, interim leadership, and talent intelligence is seeking an Executive Search Project Coordinator to join the team on a permanent basis. This is a hybrid role, working 2 days per week in the office, providing direct support to one of the firm's Partners. You’ll be part of a highly professional yet down-to-earth environment, supporting C-suite and board-level executive searches across sectors and geographies. The firm operates internationally with offices in Europe, North America, and Asia.
About the Role
As an Executive Search Project Coordinator, you’ll play a critical role in ensuring the smooth, efficient, and professional execution of senior-level recruitment assignments from initial briefing through to placement. Working closely with a Partner and collaborating with researchers, associates, and clients, you'll be at the heart of the executive hiring process.
Key Responsibilities
* Coordinate all aspects of the executive search process, including scheduling client and candidate meetings across multiple time zones.
* Prepare high-quality client deliverables (e.g., candidate briefs, status reports, search updates).
* Track progress, manage timelines, and maintain accurate records in the internal CRM.
* Liaise professionally with C-suite candidates and senior stakeholders.
* Support communication between clients, candidates, and internal teams to ensure a seamless search experience.
* Handle logistics for interviews, assessments, and presentations.
What We're Looking For
* Previous experience in a coordination, executive support, or project management role (experience in recruitment or executive search is a plus).
* Highly organized, detail-oriented, and proactive with excellent communication skills.
* Confident managing multiple priorities and stakeholders simultaneously.
* Professional demeanor with the ability to handle sensitive information confidentially.
* Tech-savvy and comfortable working with CRM/ATS platforms, MS Office, and virtual meeting tools.
