Skanska Building Services provides complete Facilities Management of schools, colleges, and universities throughout the UK,
providing mechanical and electrical engineering support, cleaning, catering and grounds maintenance on a planned and reactive basis, using technological solutions to manage our teams in the most efficient ways.
Our FM team in Bristol are looking for a Business Support Manager to join the team on-site over seeing our Bristol Schools contract Central London.
As a Business Support Manager, you will become a key member of our Building Services Facilities Management Team. As a team we are responsible for the delivery of a Total Facilities Management Service to a portfolio of mainstream, academy and school sites, including secondary, primary, nursery and SEN schools in Bristol (Bristol Schools). You will be responsible for the day-to-day coordination and management of supply chain partners for both a range of soft and hard facilities management packages. This will involve building and maintaining successful relationships with our supply chain partners to help us meet or exceed our contract delivery requirements. In addition, document and process control, including the Master Filing System and in support of a range of auditing will be a key focus area. You will also be required to support a broad range of PFI contractual exercises and periodic deliverables, in doing so gaining extensive knowledge in a wide range of services that we deliver and obligations that we are required meet.
You’ll:
1. Embed yourself within the Bristol Schools facilities management team – develop an in-depth understanding of all aspects of the business.
2. Assist with collating data and records for supply chain performance meetings, contract tender and renewal process, along with contractual exercises such as Benchmarking.
3. Build and maintain successful relationships with our supply chain partners, whilst driving collaboration.
4. Support internal, external, client and supply chain auditing and close out of actions.
5. Support the senior management team in delivering against the Skanska 2024 Business Plan objectives.
6. Act as Gatekeeper for the project Master Filing System and liaise with respective areas of the team to maintain an up to date and compliant document control system.
7. Ensure records/certificates are always kept up to date in line with the contractual requirements.
8. Assist with the implementation of new policies and procedures.
9. Coordination and management of training and appointments to ensure the team is compliant with regards to legislation.
10. Assist with the production and compilation of monthly, annual and periodic reports required by either the client or the project management team.
11. To support the senior management team in attending strategic and other key client or internal meetings, collating actions and minutes for distribution as applicable.
12. To assist with coordination of community engagement and social value plans and activities and subsequent communications.
13. Coordination of periodic customer satisfaction survey and actions.
14. Manage the delivery of business support and directing and enhancing daily administrative operations inclusive of office inventory management and general administration.
15. Assist when required with the review, validation and obtaining approval of invoices ensuring payment of any valid invoices is made in accordance with the Fair Payment Charter.
16. Assist when required with raising purchase orders based on approved requisition forms.
17. Complete any other tasks reasonably requested by Bristol Schools senior management team or the client.
We’re looking for:
18. Demonstrate a background in the supervision of both contract and direct labour,
19. Familiar with budgetary control procedures and have an ability to communicate, cooperate with and motivate staff and colleagues
20. Experience of working with a CAFM system desirable
21. Sound base in administration essential
22. Extremely well organised, process driven, self-motivated, flexible with ability to work under own initiative, under pressure to tight deadlines while maintaining attention to detail
23. A high standard of customer care skills, with a pleasant manner and have the ability to interact with internal and external contacts at all levels, displaying a professional attitude at all times
24. Excellent IT skills and be proficient in all Microsoft Office Packages
