Working closely with the Head of Live and Client Services team, the Event Resource Planner will be responsible for scheduling internal teams and freelancers across projects, ensuring effective utilisation and resource planning across the business.

This is a well-established creative experience and live events agency delivering corporate events, brand experiences, conferences, exhibitions and content projects for a range of global brands.
The agency works across both live and digital projects and has built long-term relationships with a number of major corporate clients across finance, retail and professional services sectors. With a team of around 30 people, the business has a collaborative culture and a strong focus on people development and long-term growth.
They operate a flexible hybrid working model and are continuing to grow their project delivery and creative teams, making the Event Resource Planner a key hire for the business.
THE ROLE
This position will focus on scheduling and resource planning across the project delivery, creative and production teams. The Event Resource Planner will ensure the right people are allocated to the right projects based on skills, availability and project requirements.
The Event Resource Planner will also manage freelancer scheduling, utilisation reporting and capacity planning, working closely with senior management to forecast resource needs and project demand. This is a highly organisational and analytical role that sits at the centre of the delivery team.
Duties as Event Resource Planner will include:
- Scheduling internal teams across live, creative and production projects
- Managing short and long-term resource planning and scheduling
- Working with Client Services to understand project pipeline and future demand
- Managing freelancer bookings and maintaining the freelancer database
- Monitoring utilisation, capacity planning and resource forecasting
- Resolving resource conflicts and reallocating teams where required
- Producing utilisation and freelance spend reports for senior management
- Ensuring timesheets are completed and resource data is accurate
- Supporting resource strategy and planning across the business
THE CANDIDATE
To be considered for this Event Resource Planner role, candidates should have experience in resource scheduling, project coordination, operations, or planning within an agency, events, production, marketing or project-based environment.
You'll be highly organised, analytical and confident managing large amounts of scheduling and resource data. Strong communication skills are important as you will be working with multiple departments to plan and allocate resource effectively.
