What is the opportunity?As an HR Talent Cycle Onboarding Specialist, you will take ownership of the pre-employment screening and onboarding process for the RBC UK & Europe 2026 Graduate and Internship recruitment programme.You will play a vital role in ensuring a seamless transition for our newest talent in the business.The focus will be on the end-to-end onboarding of all successful hires. This includes managing complex regulated screening requirements for graduates entering regulated roles within the business, ensuring RBC meets all necessary standards.This is an extensive programme with multiple screening events running simultaneously. You will need to maintain accuracy and speed while managing your workflow.The role will require you to build trusted relationships and act as a key point of contact. You will be:
1. Liaising with the 3rd party screening provider Liaising with the RBC Campus team, HRBPs and Payroll Liaising with the candidates Liaising with the HR Regulatory Operations team in respect of the regulated hires.
2. Your manager will require daily touch points to track progress, owing to the volumes. Assistance will be provided as required.
3. In addition to the pre-employment screening, you will be required to collaborate with colleagues in the wider Talent Cycle team to ensure that the candidates are successfully uploaded to the HRIS system.
What will you do?Primary Responsibility - Screening:Operational Excellence:
4. “Drive Service Delivery” and “Operational Effectiveness” across all onboarding activities.
Onboarding administration:
5. Manage and update real-time trackers to monitor candidate progress.
Document Management:
6. Ensure all onboarding documentation is accurately filed in employee folders.
Compliance & Right To Work (RTW):
7. Secure formal approvals from HR Regulatory Operations once screening is finalised.
8. Proactively escalate adverse information or delays to Employee Relations and HR Regulatory Operations.
9. Verify the RTW checks are completed and processed in WorkDay by Day 1.
Payroll & Systems:
10. Submit payroll packs on schedule and ensure WorkDay Employee ID numbers are generated in advance of start dates.
New Hire Communication:
11. Manage correspondence with graduates, including the distribution of ADP (payroll system) numbers upon profile creation.
Reporting:
12. Produce weekly metrics and status reports for all active cases.
Screening Coordination:
13. Liaise with the screening provider and candidates to monitor background screening progress, including formal reviews in week one and three.
Other Responsibilities:Pre-employment screening plus re-screening is the main focus of this role. However from time to time the role holder may be required to assist in the following processes:
14. Opportunity to work closely with the rest of the Talent Cycle team on various Operational processes like onboarding, job changes, family leave and terminations.
15. Meet new hires on the first day of employment; collect and process their right-to-work documentation.
16. Administration of employee data and job details on the HRIS system – WorkDay.
17. Creating employee files in a timely manner and maintenance of employee dossier.
18. Ownership and resolution of standard policy-related questions coming from employees and providing guidance on HR workplace policies and practices pertaining to our HR Platform, WorkDay.
19. Determine the appropriate contact/team and triage to resolve the work item and route it accordingly using the ServiceNow case management and workflow system.
20. Maintain case management and HRIS systems ensuring information is current and accurate, allowing data to be pulled effectively and provide to wider HR department and HRBPs, as and when required.
21. Ensure all department and company-driven processes are completed within SLA timeframes (Service Level Agreements), whilst identifying any improvements in the processes are put in place.
What do you need to succeed?Must have:
22. Extensive pre-employment screening experience, ideally with knowledge of regulated hires/screening.
23. Ability to prepare accurate documentation with a high standard of presentation and confidentiality.
24. Adaptable with the ability to work under pressure in a team environment.
25. Ability to work on own initiative diligently and without constant supervision, applying analytical thinking and problem solving.
26. Superior organisational skills with ability to manage high volume of work, attention to detail.
27. Excellent communication skills to work effectively within HR team and employees at all levels.
28. Ability to organise and prioritise work activities to efficiently accomplish tasks and meet objectives within tight deadlines while working with others in the team and organisation.
