Vibe Recruit is currently seeking an experienced and highly organised Occupational Health Co-ordinator to join a leading global healthcare organisation based in Abingdon, Oxfordshire.
This is an excellent opportunity to join a fast-paced and professional environment, supporting the delivery of occupational health and toxicology services. The successful candidate will play a key role in coordinating resources, managing supplier relationships, supporting governance activities, and ensuring the smooth day-to-day operation of the Occupational Health team.
Key Responsibilities
* Supplier Management
o Source and onboard new suppliers.
o Manage contracts, compliance documentation, and supplier records.
o Build and maintain strong supplier relationships.
o Monitor supplier performance against agreed KPIs and SLAs.
* Resourcing & Recruitment
o Liaise with recruitment agencies regarding staffing requirements.
o Screen applications and support interview processes.
o Review and approve contractor timesheets.
* Clinical Team Coordination
o Manage staff rotas and resource allocation.
o Maintain operational dashboards and scheduling systems.
o Work closely with management to ensure effective workforce planning.
* Onboarding & Offboarding
o Coordinate new starter inductions and compliance checks.
o Arrange equipment, system access, and training requirements.
o Manage leaver processes and asset returns.
* Payroll & Procurement Support
o Raise purchase orders and process invoices.
o Approve and receipt goods and services.
o Support monthly payroll administration.
* Administration & Governance
o Organise meetings and maintain accurate records.
o Manage inventory and office resources.
o Support policy and SOP reviews.
o Handle complaints and assist with audit preparation.
o Produce reports and analyse data to support business and client requirements.
* Data Protection & Compliance
o Manage Data Subject Access Requests (DSARs) in line with GDPR regulations.
o Ensure confidentiality and compliance with all data protection requirements.
* Clinical Audit & Medical Records
o Support clinical audit activities and maintain audit documentation.
o Coordinate the secure transfer and management of medical records in accordance with company procedures.
* Chemist On-Call Administration
o Coordinate pharmacist rotas and system access.
o Maintain website information and relevant records.
About You
* Excellent written and verbal communication skills.
* Strong organisational skills with exceptional attention to detail.
* A process-driven approach and commitment to compliance.
* The ability to work independently and adapt to changing priorities.
* Strong multitasking and workload management skills.
* Good IT skills, including proficiency in Microsoft Office applications.
* Experience working within a healthcare environment (desirable).
* Experience working within a regulated or audited environment such as ISO 9001, CQC, or similar frameworks (desirable).
