About the role
You'll be a valued member of our Commercial Property team —supporting a wide range of property transactions across Scotland - and provide support to other teams in the Glasgow office where required. Working alongside experienced solicitors and partners, you'll contribute to the day-to-day success of the team through high-quality secretarial support, strong organisation and effective communication, while also providing administrative support to the wider office to help ensure smooth and efficient operations.
Legal Secretarial Support – providing comprehensive secretarial and administrative support to Solicitors and Partners across our commercial teams
Client Service – dealing professionally with client enquiries and coordinating meetings and appointments
Document Production – audio and copy typing of correspondence, legal documents and reports to a high standard, ensuring accuracy and consistency
File Management – using our case management system to open, maintain and update files accurately and in line with internal procedures
Legal Administration – assisting with the preparation and submission of documentation including LBTT returns, Registers of Scotland applications and searches, using the appropriate online portals
Team Collaboration – working closely with colleagues across multiple locations to ensure a consistent and high-quality service
Additional duties – providing general administrative and office support including managing incoming and outgoing mail, scanning, photocopying and invoicing
Please note due to the requirements of this role, the successful candidate will be required to work in the office five days per week.
What you'll need
We're looking for:
Excellent communication skills, with a professional, friendly and approachable manner when dealing with clients and colleagues
Confidence using IT systems, including Microsoft Word, Outlook and SharePoint, as well as databases, with a willingness to learn new tools (training and support provided)
Strong time management skills, with the ability to prioritise tasks, meet deadlines and respond to occasional ad hoc requests
A proactive and solution-focused approach, with the confidence to take initiative and suggest improvements to day-to-day processes
A collaborative, team‑focused mindset, with a willingness to support colleagues and contribute to the smooth running of the wider team and office
A careful and responsible approach to handling confidential and sensitive information
Strong organisational skills and a high level of attention to detail, particularly when working with important legal documents
Previous legal secretarial experience in any practice area if preferred.
Experience of using a case management system and digital dictation software (preferred)
