Administrator B2 – Administration Officer

Job responsibilities
* Retrieve records and/or information using detailed knowledge and understanding of the wide range of filing systems in operation within the Trust including filing systems in use within individual patient’s manual and electronic records.
* To request patient case notes from across the Hospital and associated peripheral hospitals.
* Prepare case notes for theatre admission and pre‑operative assessment appointments.
* Update the Hospital Information System (MAXIMS) to reflect the correct location of the case notes.
* Ensure that all duties allocated are completed in a timely and satisfactory manner.
* Offer general support to the Waiting List team.
* Liaise with, and work in harmony with, other areas of the Trust to promote patient experience.
* Liaise with all grades of staff internally and externally, including other hospitals.
* Understand the GDPR (General Data Protection Regulation) and Access to Health Records Act 1990.
* Support the review and processing of requests received and respond back to enquiries.
* Adhere to the Medical Records Procedures.
* Answer the phone, taking messages and acting upon the messages.
* Constantly review admin processes and consider ways in which to improve them.
* Comply with the job description statement.
* Comply with all relevant policies, procedures and training requirements.
* Undertake any other ad‑hoc activities as directed.

Person Specification
Qualification Requirements
* Microsoft Office: Word, Outlook, Excel & Teams.
* A good general education, including GCSEs in Maths and English or equivalent standard.
* NVQ Level 2 in Administration.
Skills & Ability
* Ability to organise workload, prioritise tasks and manage time efficiently.
* Effectively communicate at all levels, clear and concise written skills.
* Flexibility in working hours and ability to cover other shifts at short notice.
Experience & Knowledge
* Experience of working within an administrative or clerical role.
* Ability to work both independently and as part of a team.
