The Role
We are seeking a highly organised and proactive Executive Office Coordinator to join our Chief Executive Office and play a central role in supporting the smooth running of the Executive Office.
Working closely with the Director of Executive Office, the wider functional leads, and key partners across the organisation, you will provide administrative, organisational, and project support across a range of critical areas, including Office Management, Reception, Health & Safety, Safeguarding, Data Protection, Social Impact, and Project Coordination.
Job Summary:
In this varied and high-impact role, you will provide confidential executive support, prepare briefing materials and presentations, manage key documentation, and act as a trusted point of coordination for internal and external stakeholders. You will support the planning and delivery of internal meetings and events, assist with the operation of the office environment, and provide Reception cover where needed.
You will also play a key role in supporting governance processes by managing shared mailboxes, maintaining Smartsheet databases, preparing regular reports, and ensuring accurate tracking across Executive Office responsibilities. Working across multiple projects, you will help keep teams aligned with operational and communications plans, contributing to research, milestone tracking, and the coordination of workstreams.
This role is ideal for someone who thrives on variety, enjoys working at pace, brings exceptional attention to detail, and is motivated by being part of a high-profile, high-performing team delivering a once-in-a-generation event.
Key Skills And Experience
We are looking for someone with strong organisational and administrative experience and the ability to manage multiple priorities in a dynamic, high-pressure environment. You will bring excellent communication skills, a high level of professionalism, and confidence when dealing with senior stakeholders and external partners. Discretion, diplomacy, and impeccable attention to detail are essential.
You will also need strong IT skills, particularly across Microsoft 365 (Teams, SharePoint, Outlook), and the ability to work both independently and as part of a collaborative team.
It would be advantageous if you have experience working within major sporting, cultural, or multi-stakeholder events, as well as familiarity with Smartsheet and creative design skills in PowerPoint.

Salary: Starting salary is from £25,000. Salary offered will be based on demonstrated skills and experience related to this role.
